JOB DESCRIPTION AND POSITION REQUIREMENTS:

The College of Earth and Mineral Sciences (EMS) seeks an innovative and enthusiastic professional to join our inclusive and collegial team in theRyan Family Student Center (RFSC), serving as theAcademic Program Coordinator. The RFSC is the home for undergraduate activities in the College-academic advising and learning support, career and engagement planning, studying, and collaborating- a busy and exciting place that fosters a sense of community for our diverse student body.

The successful candidate will serve as anacademic program coordinator for the Office of the Associate Dean for Undergraduate Education and must show a commitment to inclusive excellence.

Primary Responsibilities include:

  • Handling all college curriculum matters, including course and program proposals through the Associate Dean Office (monitoring progress through the system, interfacing with the EMS Curriculum Committee, and handling proposal logistics)
  • Managing the associate dean's calendar
  • Monitoring and processing degree audit substitutions, degree requirement reports, and graduation approval for General Education for the College's undergraduate students
  • Working closely with departmental staff on degree audits and graduation approvals
  • Assisting the associate dean and the graduation steward with data retrieval and compilation
  • Managing course scheduling in LionPATH
  • Coordinating and organizing logistics related to undergraduate engagement experiences supported by the college.
  • Providing administrative coordination and support for the RFSC instructional faculty, commencement coordinator, director of student engagement, careerservices director, Writer in Residence, college recruiter, and undergraduate advising team
  • Managing prospective student visits to the college
  • Assisting in the management, tracking, hiring, and overseeing of part-time student workers
  • Processing purchase orders, reconciling expense reports, completing course fee requests

The Academic Program Coordinator works independently on complex projects and must have strong communication skills, particularly writing and speaking. Proficiency with Excel, Word and Outlook is required. Experience with Penn State's Systems including LionPATH, SIMBA, CONCUR, CIM, and CSRS is preferred.

The College of Earth and Mineral Sciences is supportive of limited flexible work arrangements when aligned with the ability to meet the needs of the unit and the essential duties of the position. Education and Experience:

Positions will be filled within the academic program coordinator career field at a level consistent with the candidate's education and relevant experience:

  • Intermediate Support:requires a high school diploma or higher and two years of related experience, or an equivalent combination of education and experience
  • Senior Support:requires an associate's degree or higher and four or more years of related experience, or an equivalent combination of education and experience.

Attention to detail, organizational skills, and the ability to work autonomously are fundamental to success in this position. The employee will communicate and collaborate with multiple university offices as well as the five EMS departments, serve on university committees as appropriate, and represent the values of Penn State and EMS in all that they do.

The salary range for this position, including all possible grades is:

$38,300.00 - $61,000.00
