Spacelabs is seeking an Executive Assistant to join our team. This individual will be responsible for providing primary administrative and organizational support to the President of Spacelabs and other Senior leadership members. Duties will include document management, account tracking, assisting with travel planning, preparing documents for meetings, maintaining files and general office support. This individual will require excellent organizational skills, meticulous attention to detail, and strong written and verbal communication skills. They will handle details of a highly confidential and critical nature. In addition, they will collect and prepare information for use in discussions/meetings for Senior staff and outside individuals. This individual will work on problems of diverse scope where evaluation of identifiable factors is needed. The successful candidate will exercise judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions. Understand and support Spacelabs Healthcare's mission, priorities and company values.

This position is 100% onsite in Snoqualmie, Washington


Responsibilities

  • Provide administrative support to the President, and other Senior leaders within the company, which includes, but is not limited to, setting up meetings and conference calls, preparing presentations and correspondence, maintaining multiple calendars, and scheduling travel.
  • Scan President emails for critical appointments/meetings.
  • Interact with Spacelabs offices worldwide, OSI corporate office, community organizations and external customers.
  • Manage agendas and hosts various department meetings, company meetings and internal/ external employee events to promote employee motivation, interaction, community involvement, and charitable endeavors.
  • Awareness of key individuals, departments and office locations, to provide the best customer service to both internal customers and external customers.
  • Off-site Event planning - Site selection and logistic support for annual distributor meeting held internationally, as well as various off-site local meetings.
  • Provide back-up receptionist coverage.
  • Responsible for researching, analyzing and completing all assignments and/or special projects as initiated or assigned including materials needed for meetings.
  • Provide logistic support for VIP customer visits as needed.
  • Internal and off-site meeting support which includes but is not limited to, making coffee, ordering lunch, meeting vendor in pick-up area and arranging food in an attractive manner.

  • Duties may be modified or assigned at any time to meet the needs of the business.

Qualifications

  • Position requires a bachelor's degree. Additional college course work preferred.
  • A minimum of 5 years' administrative work with at least 3 years at the executive level.
  • Demonstrated experience working with Senior Level Executives.
  • Broad knowledge of office procedures and proficiency with MS Office applications.
  • Exhibit strong work ethic with flexibility and willingness to do whatever it takes to get the job done.
  • Exhibit strong interpersonal, organizational, and communication skills.
  • Demonstrated ability to use critical thinking skills and to work independently.
  • Ability to handle confidential information.
  • Ability to work in multiple time zones.
