We Require
Five years of increasingly responsible clerical and/or administrative experience. Demonstrated ability to work independently and manage tasks in a deadline-driven environment. Intermediate proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) Experience with data entry, document formatting, and database management Prior experience with purchasing tasks, expense tracking, or basic accounting tasks Experience drafting business correspondence including, but not limited to, memos, letters, contracts, and amendments High school or General Educational Development (GED) equivalent

Associate degree or higher in Business Administration, Finance, or Accounting. Experience in a public health or government setting Working knowledge of systems such as Workday, CGI Advantage Financial, Hyland Software OnBase, and Bidnet Direct Procurement. Job Contributions
Assist the Purchasing and Contracts (PAC) Office with various tasks such as: Participate in the solicitation process by creating/modifying documents and folders as needed. Review expiring contracts for possible extensions and process amendments as necessary. Assemble solicitation review documents and evaluation matrices to include summary notes for the file and vendor debriefings. Prepare and distribute contract documents and route for signatures and approvals when complete. Index all formal contracts and amendments into OnBase once completed. Perform suspension/debarment searches. Maintain the Contractor's certificates of insurance. Assist with the recruitment of new staff for the Finance and Administration Division leadership; schedules and sets up interviews, coordinates physical and/or virtual interview locations; prepares and submits HR related paperwork Track and maintain all departmental P-cards and ghost cards, as well as monitor cardholder/supervisor adherence to mandatory renewal training Track and manage supply orders and assets according to funding sources, including the distribution of computers and phones to staff within the Division Process all departmental fingerprint requests and process payments as needed Release all departmental office supply orders and troubleshoot any issues as required Support the Finance and Administrative Division in adherence to all policies and procedures as well as perform special projects as needed Perform a variety of specialized administrative tasks, including transcription of meeting notes, completing paperwork, file management, drafting and managing correspondence, and processing of PAC invoices as needed
Working Conditions
The position is typically office or administrative work and is not substantially exposed to adverse environmental conditions Must be able to lift up to 20 lbs. occasionally, 10 lbs. frequently, or negligible amounts constantly, OR requires walking or standing to a significant degree Within one month of hire, all employees are required to provide evidence of immunity or receive immunizations for vaccine-preventable illnesses for any position within the Maricopa County Department of Public Health; required immunizations include MMR (measles, mumps, rubella), Tdap (whooping cough and diphtheria), Varicella (chickenpox), and annual Influenza; some positions require a Hepatitis B vaccine and/or a Tuberculosis test. Must possess or have the ability to obtain a valid Arizona driver's license by the time of hire CAPA certification required within two months of hire Familiarity with basic office equipment (printers, copiers, scanners)
