David Evans and Associates, Inc. (DEA) is looking for a Project Coordinator to join our Surveying and Geomatics group in Santa Clarita, California. In this role, you'll play a key part in supporting technical project teams through administrative coordination, budget tracking, and documentation. This is an excellent opportunity to work in a dynamic, fast-paced environment where your contributions will help ensure the success of complex infrastructure and land development projects.

About the Role

As Project Coordinator, you'll support our survey and geomatics professionals by managing project logistics and documentation from start to finish. You'll interface regularly with internal teams, subconsultants, and clients to ensure projects are aligned with scope, budget, and schedule. From preparing invoices to tracking deliverables and action items, your organization and communication skills will keep projects moving forward and teams aligned.

Key Responsibilities

  • Prepare project invoices, progress reports, and subconsultant invoice processing

  • Support scope and fee development and reconcile comments with internal teams and clients

  • Track adherence to scope and fee, assisting with change management

  • Prepare setup forms, change orders, subconsultant agreements, and task orders

  • Monitor project burn rate, track task orders, and report project status

  • Manage insurance certificates for DEA and subconsultants

  • Assist with cost-to-complete and earned value reports (EVR)

  • Coordinate project meetings, prepare agendas, take meeting notes, and track action items

  • Support document control and audit processes with quality managers

  • Help project managers manage accounts receivable (AR) and unbilled (UB) balances

  • Maintain organized project files and contribute to consistent communication across teams

What You Bring

  • Minimum of 8 years of experience in a project coordination or operations support role

  • Ability to multitask and prioritize competing requests in a fast-paced environment

  • Excellent written and verbal communication skills

  • Experience with contracts, invoicing, and basic accounting principles (AP/AR)

  • Advanced proficiency in Outlook, Word, and Excel

  • Familiarity with scope, schedule, and budget tracking

  • Strong interpersonal skills and a service-oriented mindset

Preferred Qualifications

  • Experience in the architecture, engineering, or construction (AEC) industry

  • Demonstrated experience supporting technical teams and subconsultants

  • Familiarity with union trust fund contribution calculations

  • Positive, proactive, and highly accountable team player
