The Wounded Warrior Project (WWP) Executive Assistant for the Government & Community Relations (GCR) team supports the GCR Vice President and provides high-level administrative support to GCR leadership and staff to ensure efficient and seamless daily operations. Responsibilities include managing calendars, coordinating meetings and events, arranging travel, preparing reports and presentations, supporting special projects, and handling sensitive information with discretion. This role also serves as a key liaison between GCR leadership and internal teams, as well as external stakeholders, including members of Congress and the Executive branch.
DUTIES & RESPONSIBILITIES
Meet with the GCR VP daily to help organize action items, meetings, events, and key projects. Provide administrative support to GCR leadership and staff. Write end-of-day summaries and end-of-week reports to assist the GCR VP with tracking important events and action items. Coordinate a variety of annual events, including receptions, conferences, and ceremonies, by overseeing logistics, scheduling, vendor engagement, and on-site support to ensure seamless execution. Provide operational support for large-scale initiatives such as Soldier Ride DC and AUSA, independently navigating project timelines, cross-functional communication, and logistical challenges. Organize and facilitate meetings on behalf of the GCR team, taking notes and following up on action items. Ensure details are communicated clearly to participants, and logistics are effectively planned and executed. Serve as the first point of contact for guests and visitors, in person or by phone, greeting them in a professional and friendly manner, answering inquiries, and directing them to appropriate staff members. Serve as the liaison to the executive administration team and external stakeholders, when appropriate. Support the GCR team by assisting with the preparation of materials, documentation, and research to inform strategic planning efforts. Assist with scheduling interviews, coordinating candidate communications, and supporting the GCR team's recruiting and hiring efforts. Attend meetings and events as needed, documenting key takeaways and action items. Perform general office duties including managing correspondence, organizing, filing, and maintaining documents and records, while exercising discretion and confidentiality. Draft, proofread, and manage internal and external communications, prioritizing and responding on behalf of the GCR VP when appropriate. Assist with travel planning and arrangements. Coordinate payment of invoices, maintain budget-related documentation, and manage business expenses and reimbursements in the Concur system in a timely manner. Support onboarding processes and coordination with other departments. Continuously assess administrative and operational processes to identify improvements, streamline workflows, enhance tool utilization, and reduce redundancies; support special projects and provide strategic recommendations to drive efficiency and effectiveness. Attend and actively participate in required training and/or meetings, including but not limited to New Teammate Orientation, WWP Cares, ASIST Suicide Prevention training, Leadership training, culture/team based training, or departmental huddles. Other related duties as assigned.

Proficiency in using Microsoft Office Suite (Word, Excel, Outlook, Teams, PowerPoint), and comfortable using technology to improve workflows and communication. EXPERIENCE Requirements
Four years of experience providing administrative support, staff support, or similar type of professional support. Four years of experience using Microsoft Office, e.g., Word, Excel, PowerPoint, Outlook. Three years of experience liaising with and engaging senior executives and high-level stakeholders.
Preferences
Two years of experience supporting executive-level staff. Two years of administrative experience or internship work in a nonprofit, government agency, legislative office, or campaign environment. Experience in event coordination, including logistics management, vendor communication, and on-site event execution.
EDUCATION Requirements
Bachelor's degree. Equivalent combination of applicable education, training, certification, and experience may be considered in lieu of degree.
