As a Project and Office Assistant in our Chapel Hill office, you will help us empower our clients to achieve energy-efficient building solutions, save global environments, and create a better, greener future for all.

Here's why we need you:

In this role, you will provide administrative and project coordination support to a variety of departments within the Chapel Hill office. Responsibilities include, but are not limited to, project document management and distribution, coordination with Owners, Design Partners and Contractors, scheduling meetings, planning events, ordering supplies, general word processing, and digital filing. In addition, you will provide administrative support to office management.

Expertise of our most successful Project Administrator:

    Associate's degree or commensurate experience.
  • Proficiency in Microsoft Office applications.
  • Ability to learn cloud-based construction software programs.

Effective skills to help you flourish:

  • Strong attention to detail, excellent communication and organizational skills, and flexibility to adjust to shifting priorities and deadlines that may occur daily.
  • Ability to learn and work in multiple software platforms for design and construction management, including examples such as Newforma, SpecLink, Procore, AccBuild, and E-Builder.
  • Distribute project information to appropriate members of the AEI project design team, production services, client team, and other consultants in a timely fashion. May have occasional contact with client and other outside consultants regarding transfer of information, documents, timelines,
  • Capability to use discretion and judgment in dealing with sensitive information and maintaining confidential information.
  • Provide administrative support as needed to project managers and project design team members as requested.
  • Assist to plan and coordinate organizational functions and events as requested.
  • Answer incoming calls during office hours and welcoming visitors to the Chapel Hill office if the receptionist is unavailable.
