What this job involves - The Assistant Facilities Manager will provide support to the Site and/or Facility Manager with operational activities in maintenance and operations, accounting and finance, vendor oversight, equipment and supplies, occupancy services and proactively develop and maintain client relationships ensuring that expected service levels are achieved.

What is the day to day?

Relationship Management

  • Maintain client satisfaction with delivery of Facility Management services and support programs to increase customer satisfaction. Lead cross functional teams and pair with internal contractors and technical staff to exceed customer satisfaction

Site and Vendor Management

  • Support and assist with vendor management for maintenance of janitorial, mechanical, electrical, plumbing, carpentry, critical systems, HVAC, and others defined within our account.
  • Support facility soft services as needed and directed such as: janitorial, meetings preparation, conference services, copy centers, media services, waste, food services, parking, vending, and badging
  • Support the managing of vendors to ensure SLA delivery on the work orders and high client satisfaction.
  • Support work order management for in house staff and vendors as necessary
  • Support compliance with all health and safety, environment and risk management policies and procedures in conjunction with the area/site manager

Client Relationship Management

  • Proactively develop and manage client relationships ensuring that expected service levels are achieved.
  • Comply with all requirements of the client contract and meet or exceed key performance indicators.
  • Follow established escalation procedures and incident reporting procedures.
  • Lead the implementation of innovative programs (Sustainability/Emergency Response) and processes that reduce short- and long-term operating costs and increase productivity.

Finance Management

  • Assist with the annual budgeting and quarterly forecasting processes for the site as well as prepare monthly spend reports (actual vs. budget, variance etc.).
  • Keep track of Approved/Rejected POs by checking e-mails and the PO status' on E1.
  • Support with keeping the AP report low, GRNV, UMLV and open POs reports clear to meet financial deadlines.
  • Support PO queue by transferring all PO requests over to a PO creator.
  • Support receipt of Monthly contracts at the beginning of the month.

Desired experience and technical skills

Required

  • 3+ years of industry experience and supervisory experience in facilities management or related field.
  • Working knowledge of CMMS, relational database, work order management systems (Maximo and Building Enginesused on-site)
  • Familiar with hard services offering (technical knowledge on HVAC, electrical, plumbing systems)
  • Strong eye for attention to details
  • Excellent customer service delivery
  • Experience with Microsoft Office products, like PowerPoint, Outlook and Excel
  • Excellent verbal and written communication skills
  • Proficient in a range of information technology tools and platforms.

Preferred

  • Bi-lingual is a plus
  • Associate's or bachelor's degree in Facilities, Property, Business or related field desirable

Work Environment

  • Ability to work, on occasion, flexible hours which may exceed 8 hours in a day, 5 days in a week or 40 hours in a week.
  • Office-based with standard business equipment and technology
  • The role requires working in a regulated pharmaceutical environment that adheres to strict compliance standards
  • Physical demands are generally limited to those associated with a normal office environment (sitting, standing, using computers and phones).

Estimated total compensation for this position:

70,000.00 - 88,000.00 USD per year

The total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data .
