POSITION SPECIFICS

The Office of the Associate Dean for Undergraduate Education is seeking a detailed-oriented, motivated individual to provide administrative support for several areas of the office. The Academic Program Coordinator will primarily support the Offices of Science Engagement and Future Students, as well as serving as first point of contact for all visitors to the Ritenour Building. This position will assist the records coordinator on student records needs and assist with the spring commencement ceremony planning and day of events.

This individual will be responsible for:

  • Providing administrative support for the Office of Science Engagement, including assistance with registration, planning, and administration of events, career opportunity monitoring, coordinating communications and collaboration with stakeholders. Maintain and update digital signage for programming and announcements to be shared throughout the college. Processing financial transactions and employee reimbursement system for staff and students for OSE. programs; providing budget support and tracking spending in the office.
  • Providing administrative support for the Future Students Coordinator, including planning, scheduling, and coordination of prospective student visits. Assisting with organizing events such as Spend a Summer Day and Applied Student Events. Assisting with preparation, creation, and delivery of communications to prospective students. First point of contact for phone calls and emails sent to Future Students office.
  • Monitoring and responding to phone calls and emails to the main office line. Serve as a first point of contact for all visitors to the Ritenour Building at the front desk. Responsible for mail distribution, conference room scheduling, and supply ordering for Office of Associate Dean, Future Students Office and Office of Science Engagement.
  • Student records support including processing change of major, concurrent major, and leave of absence requests working with department contacts to receive approval. Processes grade forgiveness requests.
  • Commencement ceremony support including preparing graduation packets for graduating seniors in the weeks leading up to commencement and assist with distribution. Providing set-up and tear down of the spring commencement and greets graduates at the registration table as they arrive for commencement.

Excellent communication, organization, and customer service skills are critical, as is the ability to work independently and in a team environment. We are seeking an individual with initiative; demonstrates a willingness to learn and can shift between tasks and offices with ease.

Proficiency in Microsoft Office, particularly Excel and Word, is required. University experience with SIMBA (System for Integrated Management, Budgeting, and Accounting), SAP CONCUR, LionPATH (student portal), CANVAS, 25Live, and Work Lion (HR portal) is preferred

The position is based at the University Park Campus; however,flexibleworkarrangements, such as hybridworkopportunities, may be considered.Questions related to flexible work should be directed to the hiring manager during the interview process.

MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS

General Equivalency Diploma (GED) or High School (HS) 2+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None

SALARY & BENEFITS

The salary range for this position, including all possible grades, is $38,300.00 - $55,500.00.
