Overview The Events Coordinator will be responsible for supporting the planning, coordination, and execution of internal events that enhance employee engagement and foster a strong, inclusive company culture. This role ensures the seamless delivery of both large-scale and smaller, team-specific events that align with the company's mission, values, and employee engagement goals. The Events Coordinator will also collaborate with other team members to organize recognition programs and employee-focused celebrations. Key Responsibilities:
Assist in the planning, coordination, and execution of corporate events that promote employee connection, engagement, and recognition. Work with internal teams and external vendors to ensure smooth event logistics, including venue selection, catering, scheduling, and AV+ technology setup. Support internal communication efforts for events, including sending out invitations, maintaining RSVPs, headcounts and reminders, and post-event follow-up. Help manage recognition programs and ensure events align with company values and employee appreciation efforts. Support the Senior Manager and Director in organizing and executing key company-wide events, including team-building activities, celebrations, and milestone events. Provide on-the-ground support for event app set-up, registration, and overall event execution, ensuring everything runs smoothly. Research - evaluate venues, vendors and contracts Submit invoices for deposits, payments and appropriate follow-up through event life-cycle // Set and manage budgets - work with finance for deposits, invoicing. Contacting POCs for infrastructure ex: signage for events and shipping. Develop event concepts, themes, activities, transportation manifests Create event timelines and schedules. And project plan timeline/communication plan + internal staffing to project management software Track event participation and gather feedback to continuously improve the event experience. Track and manage internal entertainment ticket requests ex: baseball tickets, Experience with Cvent, Groupize, Stova or similar event registration software Experience with Wrike, Asana, Click-up
Qualifications:
Bachelor's degree in Event Management, Communications, Marketing, or a related field. 2-3 years of experience in event planning, employee engagement, or corporate communications. Experience coordinating logistics for corporate events, including vendor management and budgeting. Strong attention to detail and ability to multitask in a fast-paced environment. Excellent communication and organizational skills. Monday - Friday standard business hours, but must also be able to work flexible hours, including evenings and weekends as needed for events.
