ABOUT THE JOB

Helena's Human Resources (HR) team is looking for an Administrative Assistant to undertake a variety of administrative duties and support activities. This person needs to be motivated, organized, a great team player and able to jump in and hit the ground running. This is an onsite position located at our Corporate office in Collierville, Tennessee.

WHAT YOUR DAY WILL LOOK LIKE




  • Provides administrative support to the HR and payroll teams including meeting coordination, office supply orders, travel arrangements and expense reports.
  • Assists with a variety of daily operational duties for the HR team including processing and distribution of birthday and anniversary reports, processing and coding of all bills, phone lists and weekly HR/payroll schedule.
  • Coordinates decisions on anniversary gifts, orders and distributes gifts to corporate employees.
  • Assists executive support team with big meetings involving out of town employees or guests.
  • Answers frequently asked questions from applicants and employees related to policies, benefits, processes, etc.
  • Manages security badge system for corporate building.


  • Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties and retirement celebrations.
  • Coordinates and manages all corporate employee recognition events.
  • Processes requests and subpoenas for employee records and coordinates with legal department.
  • Coordinates, gathers and ships supplies related to acquisitions such as benefit guides, employee gifts, etc.
  • Assists with employee filing and keeps file room organized.
  • Determines, orders and distributes various HR items for promotion and giveaways, including baby gifts.
  • May be required to drive a company vehicle.
  • Provides excellent customer service to all internal and external customers.
  • Other work-related duties as assigned by your leader.
  • Regular and reliable attendance is required.
  • Follows all company policies and procedures.



EDUCATION & EXPERIENCE




  • High school diploma or equivalent is required.
  • Two years of related work experience is required.



SKILLS & QUALIFICATIONS




  • Computer skills including working knowledge of Microsoft Office are required.
  • Proficiency in ADP is preferred.
  • Ability to prioritize tasks and adjust to changing needs.
  • Ability to maintain the integrity and confidentiality of files and records.
  • Meticulous attention to detail.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism and diplomacy.
  • Ability to read, write and speak in English is required.
  • Communicating in Spanish is a valuable skill at Helena.
  • Valid U.S. driver's license is required to drive a company vehicle.



Successful completion of a drug test and background check is required for all positions at Helena.

WORK ENVIRONMENT & PHYSICAL ASPECTS OF THE JOB

The work environment for this position is that of a typical office environment where the noise level is mostly quiet. This position requires you to use your hands for many different tasks and to talk, hear, walk, stand and sit. You may be occasionally required to lift or move up to 10 pounds.
