Job Description

Summary
The Office of Reservations & Events provides logistics and services support for events and meetings across the University of Missouri campus, seven days a week. This includes event planning, setting up rooms, onsite support, and assisting with technology as needed. The Senior Event Support Specialist for Reservations & Events plays a key role in supporting the office's internal operations and client services.

Key Responsibilities
* Organizes information for processes managed by the Office of Reservations & Events to present to the Director. Information is collected via established processes for alcohol use permits, amplified sound permits, commercial filming/photography, street use/closure applications, among others. Communicate via phone and email with requestors as needed, with possible in person interaction. Assist with permit record keeping functions in established systems. Recommend improvement and/or efficiency opportunities for processes.
* May occasionally educate clients on University policies and procedures impacting their requested use of space. Must be able to assist requestors with permit applications processes by explaining steps.
* Generate facilities use agreements for all managed spaces of the Office of Reservations & Events with provided templates and administer the processes through the MU Contracts Office System. Collect any required signatures and inform venue managers and clients when agreements are fully executed.
* Manage the Director of Reservations & Events calendar and coordinate meeting requests.
* The Office of Reservations & Events is responsible for billing events that are scheduled within the EMS Software system. The Senior Event Support Specialist will assist with billing functions, including invoicing, past due notifications, as well as develop documents as needed for end of year processing.
* Compile data reports monthly and as needed for the Director. Reports to include key performance indicators, and other data driven information such as usage statistics for venues, services, and equipment based on group types with comparison year to year.
* Other projects and duties as assigned by supervisor.

Desired Skills

* Excellent customer service skills and experience directly working with people to achieve their desired results.
* Ability to manage multiple tasks effectively.
* Experience with EMS (event management software).

Shift

Monday-Friday, 8am-5pm. Rare occasions may necessitate night and/or weekend work.

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

Experience in event/hospitality field, logistics, or business administration
Experience with EMS (event management software)
Experience managing calendars

Anticipated Hiring Range

Salary Range: $21.71-$24.03 hourly

Grade: GGS-009
