Job Summary:

The Senior Executive Coordinator supports the Manager, Administrative Support Services in supporting the Executive Office of the Provost and Executive Vice Chancellor for Administration and Finance by providing advanced, high-level administrative and operational support and logistical functions. Acting as a key liaison and trusted partner, this position is instrumental in ensuring the efficient operation of the executive offices and facilitating strategic coordination across units. The Senior Executive Coordinator interacts with a broad range of internal and external stakeholders, and requires superior judgment, professionalism, and discretion, along with the ability to manage sensitive and confidential information. Possess project management skills, effective analytical and problem-solving skills, works well under pressure, and is highly organized, proactive, diplomatic, and capable of managing multiple priorities in a fast-paced environment. Duties: Executive-Level Administrative Support:
- Under the direction of the Manager, Administrative Support Services proactively manage the complex calendar and schedule of the Provost and Executive Vice Chancellor, ensuring alignment with priorities.
- Coordinate domestic and international travel logistics, itineraries, and reconciliation of expenses in a timely and accurate manner.
- Monitor timelines and deadlines for executive initiatives and ensure appropriate follow-up on action items.
- Monitor email inboxes for executive offices, then respond or refer to appropriate entity
- Respond in a timely manner to all requests from various sources, both internal and external
Strategic Office Management:
- Under the direction of the Manager, Administrative Support Services, serve as a point of contact for managing the flow of information, communications, and documentation within the executive office.
- Anticipate and resolve administrative needs before they arise; troubleshoot problems with a solutions-oriented mindset.
- Maintain confidential files and records with attention to accuracy and security protocols.
- Responsible for completing procurement and purchasing processes.
Project Coordination & Event Planning:
- Assist with planning and execution of executive-level meetings, forums, and events, including logistics, agenda preparation, and minute-taking.
- Lead small-scale projects or initiatives under the guidance of the Manager, Administrative Support Services and/or Office leadership.
- Coordinate and track special assignments and strategic initiatives from inception to completion.
Communications & Relationship Management:
- Act as a liaison between the executive office and senior leadership, faculty, staff, and external stakeholders.
- Draft and manage communications, ensuring clarity, professionalism, and alignment with institutional voice and priorities.
- Represent the office in a professional manner, demonstrating diplomacy, tact, and exceptional customer service.
Confidentiality and Professional Integrity:
- Exercise sound judgment, especially in handling sensitive matters or confidential information related to personnel, budgets, or university strategy.
- Uphold the highest level of discretion and maintain strict confidentiality at all times.

Qualifications:
|
Minimum Qualifications: Applicants must meet minimum qualifications at the time of hire. * 10 years executive support experience Preferred Qualifications:
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), and familiarity with virtual meeting platforms (Zoom, MS Teams).
- Experience with CU Systems to include Concur, Marketplace and MyLeave.
- Experience supporting senior-level executives in higher education, government, or a large public institution.
- Experience handling project coordination or high-level event planning.
Knowledge, Skills, and Abilities
- Exceptional organizational, time management, and multitasking skills with a demonstrated ability to manage competing priorities in a fast-paced environment.
- Excellent written and verbal communication skills, with meticulous attention to detail.
- Demonstrated discretion, tact, and ability to work with sensitive information.
- Proven ability to work both independently and collaboratively.
- Strong problem-solving skills and ability to exercise initiative and good judgment
- Adaptable to a variety of leadership and communication styles.

The hiring range for this position has been established at: $40.00-$45.00/hour. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.
