Essential Job Duties |
This position will support the EmPOWERing Mountain Food Systems project. It will report directly to and be housed under the project director of EmPOWERing Mountain Food Systems project. This position will be dedicated to supporting the administrative needs of the grant.
This position will be part of the Administrative Working Group and will support the
CEFS Business Manager in supporting the business functions of the
EMFS team. EmPowering Mountain Local Food Systems is a federally funded grant targeted to coal impacted regions of Appalachia. Our goal is to help develop the local food and farming economy through supply chain enhancement, technical training, infrastructure development, agritourism, value-added production, grants, and business planning.
Major Job Responsibilities Include:
- High level of organization, creating and managing timelines
- Communicating with a wide range of stakeholders and the general public through email and phone
- Federal grant management and administrative duties, including partner match support processes
- Management of detailed excel spreadsheets and google suite databases tracking spending, federal forms, vendors and payment processes
- Assisting evaluation team with data collection, farmer contacts and spending metrics
- Supporting project directors grant management duties with the NCSU grants ofce
- Review grant expenditures and balances monthly with Project Director
- Event planning assistance and logistics of program events
- Management and reconciliation of the company credit card
- Navigating and providing technical support for Zoom and other online webinar and meeting platforms.
- Manage all team meeting scheduling and minutes
- Processing nancial paperwork, including paying invoices through the NCSU invoice payment system
- Management of state travel paperwork for individuals, large conferences, and events of program
- Constant follow up to ensure paperwork has been processed by the grants office, CEFS business team and project partners.
- Ability to problem solve and reach out to CEFS Administrative Team for support
- Support data collection for evaluations' consultant
- Manage complex procurement processes from start to finish, collaborating with internal departments and external vendors
- Support grant management and financial tracking with guidance from leadership
- Create and compile grant reporting documentation for project partners
- Maintain internal databases and listservs up-to-date, primarily using Google Suite and NCSU platforms
- Collaborate with CEFS comms team on constant contact updates
- Assist with contract and proposal bid creation
- Manage the flow of transactions, purchase orders, invoices, and contracts, in collaboration with CEFS admin team
- Provide excellent customer service to clients and vendor
Assignments will often be delivered remotely from team members via email and candidate will need to prioritize based on upcoming deadlines. Superior organization and time management skills are necessary. Attention to detail, excellent follow-through, ability to think on your feet, and communicate effectively are vital to success in this position. Work Schedule: No more than 19 hours a week. Some nights, early mornings and weekend work will be required during events or busy seasons. Some overnight travel may be required for events.
The ofce is based at NC State University in Raleigh, but the project is based in Southwestern NC and occasional travel will be required. We strongly prefer this position be based in one of the 12 program counties or the Eastern Band of Cherokee Indian Qualla Boundary.
With exception to certain event blackout dates, schedule is somewhat exible.
There is no paid leave for this position, extended leave can be approved with advanced planning. |

- Bachelor's degree with at least one year of related experience; or an equivalent combination of training and experience in project management, communications, and relationship management in a food systems setting, education, agriculture, or food policy related environment
