The administrative assistant will provide dedicated administrative support to the HR and Payroll operations of a large/complex unit within the Erik Jonsson School of Engineering and Computer Science. A successful candidate will be organized, detail-oriented, and able to shift priorities in a fast-paced environment. This role will require broad-based knowledge of university policies and applicable local, state, and federal laws and regulations. Must have strong time management skills and attention to detail. The administrative assistant will provide outstanding customer service to Faculty, Staff, and Students and professionally delivering a wide variety of support services, including email, phone, and in-person communications.
This position is expected to last until August 31, 2025, but may be extended depending on funding.
Minimum Education and Experience

High school graduate or equivalent.

Preferred Education and Experience

  • Bachelor's degree and two years office administration or project management experience or an equivalent combination of education and experience.
  • Organizational and time-management skills.
  • Proficient in Microsoft Office applications, emphasizing Excel, Outlook, PowerPoint, Word, as well as survey deployment software such as Qualtrics.
  • Strong analytical, verbal, and written communication skills.
  • Experience with policies and regulations in a higher education setting.
  • Detail-oriented and deadline-driven.
  • Ability to prioritize and shift focus as needed in a fast-paced environment.

Essential Duties and Responsibilities
This position provides administrative support for Human Resources and Payroll functions within the Department of Mechanical Engineering. Reporting to the Business Administrator, this role plays a key part in facilitating HR and payroll processes for the department.
Key responsibilities include assisting with the processing of employment requests for Research Assistants (RAs), Teaching Assistants (TAs), and hourly student workers. This involves collecting hiring requests from faculty, calculating employment costs, coordinating with the finance team to ensure funding availability, and submitting employment documentation to HR and Payroll for processing.

May also assist with assigning time sheets, sending out payroll deadline reminders, and maintaining and updating department personnel sheet.
