Pay Range

$109,530 - $134,100Annually for the A01.3 Level

This is the lowest to highest salary in good faith we would pay for this role at the time of this posting. Pay will not be below any applicable local minimum wage. An employee's position within the salary range will be based on several factors including, but not limited to, specific competencies, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, and business or organizational needs.


Job Description

We have an opening for a Division Administrator, supporting the administrative functions within the Weapons Business Operations Division (WBOD). As part of the management team, you will participate in business, workforce and operations; and will implement administrative policies and procedures. You will have oversight responsibility for administrative staffing, hiring, security, safety. This position is within the Strategic Deterrence (SD) Directorate.

This position may offer a hybrid schedule, which includes the flexibility to work from home one or more days per week, after a probationary period. The specifics of the hybrid schedule, including the exact number of days required in the office and virtual work options, may vary based on the needs of the team and the organization.

In this role, you will:

  • Independently clarify, coordinate, communicate, and disseminate information. Assess and respond to inquiries, prioritize actions, follow-up and ensure resolution on a wide variety of issues.
  • Evaluate, develop, and implement processes, procedures, and systems to streamline the duties for the WBOD. Provide input for the development of organizational practices.
  • Represent and serve as an advisor to senior leadership, implement changes and execute operational and/or organizational strategies.
  • Research and analyze business, operational, and organizational issues and problems; prepare reports for management's use and decision making.
  • Assess the adherence to administrative and operational strategies, objectives and deliverables of the organization.
  • Manage complex and often confidential files; determine retention/destruction status of documents using Laboratory guidelines.
  • Interpret and advise personnel laws, regulations and guidelines and ensure compliance.
  • Research, make requests for information, analyze, prepare, and assemble information and data from multiple and diverse sources; coordinate findings and other information with senior leadership.
  • Independently clarify, coordinate, communicate, and disseminate information on behalf of the Division Leader and other senior leadership; independently assess and respond to inquiries, prioritize actions, follow-up and ensure resolution on a wide variety of issues.
  • Conduct research and make requests for information, compile and coordinate internal and external information on a variety of business, operational and administrative topics.
  • Perform other duties as assigned.

Qualifications
  • This position requires an active Department of Energy (DOE) Q-level clearance or active Top-Secret clearance issued by another U.S. government agency at the time of hire.
  • Associate's degree in a related field or equivalent combination of extensive experience and education in a related business, operational and/or organizational area.
  • Advanced analytical skills as well as the ability to anticipate, identify, and resolve complex problems using a high degree of mature judgment, discretion and tact.
  • Comprehensive knowledge and experience managing recruitment and hiring practices, approving job listings, hire packages, and personnel actions, interpreting and applying policies and procedures, and an understanding of HR compliance requirements for hiring FLSA, ADA, EEO, etc.
  • Knowledge and experience interpreting and implementing administrative policies and procedures.
  • Experience exercising a high degree of discretion, mature judgment, and tact in handling sensitive and confidential issues with a high consequence of error.
  • Experience leading business, operational and organizational activities, participating in a variety of organizational projects and researching, interpreting and applying a wide variety of policies, procedures and guidelines.
  • Advanced written and verbal communication skills necessary to effectively interact with all levels of personnel internal and external to LLNL, including the advanced skills necessary to explain, present, direct, negotiate, and influence others.
  • Advanced problem solving, analytical and organizational skills with the ability to anticipate, identify and resolve complex issues in a rapidly changing environment.
  • Efficient analytical, research, and complex-problem-solving skills to independently and successfully resolve unique and highly complex problems. Extensive experience participating in strategic planning activities.
  • Advanced knowledge of personal computers and associated software including MS Office applications.

Qualifications we desire

  • Bachelor's degree in a related field or equivalent combination of extensive experience and education in a related business, operational and/or organizational area.

Sensitive Compartmented Information Facilities requireseparate approval. Hearing aids without wireless capabilities or wireless that has been disabled are allowed in Limited Areas, Secure Space and Transit/Buffer Space within buildings.
