Job Description: PRIMARY PURPOSE/GENERAL DESCRIPTION: The Maintenance Manager is responsible for overseeing the operation, maintenance, and repair of all facility systems, including HVAC (Heating, Ventilation, and Air Conditioning), BAS (Building Automation Systems), CMMS (Computerized Maintenance Management Systems), and general facilities maintenance. Will coordinate work with TCCS (The Claremont Colleges Services) and inspect completed work. The ideal candidate will have a comprehensive understanding of mechanical, plumbing, electrical, HVAC systems, BAS, CMMS software, and overall facility management, as well as the ability to lead a team of maintenance technicians to ensure optimal building performance, safety, and efficiency. DESCRIPTION OF DUTIES AND RESPONSIBILITIES: ESSENTIAL FUNCTIONS: This information is intended to be a descriptive of the key responsibilities of the position.The list of essential functions below does not identify all duties performed by any single incumbent in this position.Perform other duties as assigned. HVAC System Management:
- Oversee the operation, repair, and maintenance of HVAC systems to ensure optimal comfort, air quality, and system performance.
- Perform routine inspections, preventive maintenance, and troubleshooting of HVAC equipment.
- Develop and implement strategies for energy efficiency and cost-effective operation of HVAC systems.
- Coordinate with vendors and service providers for HVAC system repairs and replacements.
- Ensure compliance with relevant codes, regulations, and standards related to HVAC operations.
Building Automation System (BAS) Oversight:
- Manage the BAS to monitor, control, and optimize building systems, including HVAC, lighting, security, and energy management.
- Troubleshoot and resolve BAS-related issues, ensuring systems function efficiently and effectively.
- Collaborate with IT and other departments to ensure the integration and proper functioning of the BAS infrastructure.
- Analyze BAS data to identify areas for operational improvements and cost reductions.
- Ensure all BAS software and hardware are maintained, updated, and properly configured.
Computerized Maintenance Management System (CMMS):
- Administer and optimize the CMMS to track maintenance activities, work orders, inventory, and asset management for HVAC, BAS, facilities systems, and other equipment.
- Use CMMS to schedule preventive maintenance, track work orders, and ensure timely completion of tasks.
- Analyze CMMS data to identify recurring issues, optimize maintenance schedules, and improve operational efficiency.
- Ensure accurate documentation of all maintenance activities, repairs, and system performance in the CMMS for reporting and compliance purposes.
- Train staff on using the CMMS system effectively for work orders, maintenance tracking, and inventory management.
Facilities Maintenance Oversight:
- Oversee the maintenance of general building systems, including plumbing, electrical, lighting, flooring, and other infrastructure.
- Ensure all facilities maintenance tasks, including repairs, inspections, and installations, are completed to high standards.
- Coordinate with contractors and vendors for specialized maintenance and repair projects (e.g., roofing, structural repairs).
- Develop and implement facilities maintenance plans to ensure buildings remain safe, functional, and well-maintained.
- Manage the daily operation and upkeep of the facility, ensuring that all maintenance and repair tasks are addressed in a timely manner.
- Participates in design review of planning and construction as well as commissioning in order to facilitate safe operations and preparations for onboarding of new College facilities.
Team Leadership and Supervision:
- Supervise and lead a team of maintenance technicians, assigning tasks and ensuring work is completed efficiently and safely.
- Provide training and mentorship to staff on HVAC systems, BAS operations, CMMS usage, and general facilities maintenance best practices.
- Perform performance evaluations and provide feedback to team members.
- Ensure that all maintenance work is conducted in accordance with safety standards and company policies.
Preventive Maintenance and Repairs:
- Develop and implement a comprehensive preventive maintenance program for HVAC, BAS, facilities systems, and all other equipment.
- Schedule and track maintenance activities through the CMMS, ensuring minimal disruption to building operations.
- Respond to emergency repair requests and perform troubleshooting to resolve urgent issues quickly.
- Maintain accurate records of maintenance activities, repairs, and system performance.
- Initiates planned/preventative maintenance programs for a variety of facility equipment including HVAC, facility equipment, etc. Coordinates these activities with Facilities leadership team including the Facilities Director and Associate Director of Planning& Construction.
Budget and Resource Management:
- Manage the maintenance budget, including forecasting and tracking expenditures for HVAC, BAS, CMMS, and general facilities-related activities.
- Negotiate with vendors and service providers for maintenance contracts, equipment purchases, and facilities projects.
- Recommend upgrades, replacements, and improvements to systems and facilities to enhance efficiency and reduce long-term costs.
- Manages requests for proposals, requests for information, communication, scheduling, invoice tracking, quality assurance, and follow up with outside service vendors.
- Manages inventory of tools and supplies; places orders when needed.
Regulatory Compliance and Reporting:
- Ensure compliance with local, state, and federal regulations concerning HVAC, BAS, CMMS, facilities maintenance, and general building operations.
- Prepare and submit reports on system performance, maintenance activities, and compliance to management.
- Ensure that all safety and environmental guidelines are followed, including regular inspections and audits.
- Oversees and maintains regulatory and agency related permits, inspections and corrective action follow-up for the state of California, county of Los Angeles, and city of Claremont, and local fire as it relates to operations.

QUALIFICATION STANDARDS: EDUCATION & EXPERIENCE: Bachelor's degree or any combination of education and experience that provides the required knowledge, skills and ability to perform the job. Threeto fiveyears related experience is preferred.Experienceinprivateor publiceducational facility preferred. LICENSES / CERTIFICATES: Preferred qualifications:
- HVAC Certification (e.g., EPA 608, NATE, or equivalent).
- BAS System Certification (e.g., Andover Continuum, EcoStruxure, Johnson Controls).
- CMMS Certification (e.g., from providers like IBM Maximo, Maintenance Connection).
- OSHA or other safety-related certifications.
OTHER: HOURS & CLASSIFICATION AND STATUS: This is a regular status, full-time, benefits-eligible, exempt position. The regular hours of this position are Monday-Friday 8:00 am-5:00 pm.Hours may vary due to the needs of the College or department. Evening, weekends and special events work will be required by the College. Salary rate range:$78,000-$83,000annualized. The salary rate of the finalist(s) selected for this role will be sent based on a variety of factors, including but not limited to, internal equity, experience, education, specialty, and training. SUPERVISORY RESPONSIBILITY: Will supervise a Maintenance Lead and a team of Utility Maintenance Mechanics.
