Position Title: Assistant Registrar for University Scheduling and Classroom ManagementCompensation: 43,000 - 45,000Department: Office of the Registrar_EAbout this opportunity: Are you passionate about technology and higher education? If you have a strong analytical mindset, enjoy problem-solving, and want to make a data-driven impact on the student experience, we invite you to apply and help shape the future of our office.What you'll do and what you'll bring: Position Function: The Assistant Registrar for University Scheduling and Classroom Management provides leadership and management of daily operations supporting the university master schedule, class and event scheduling, and space utilization. Ensures accuracy and efficiency of the course section build for all academic terms and analyzes and utilizes data to support decision-making and promote a culture of evidence-based practices. Provides training, development, and support for the Schedule Specialists within the academic colleges. Document policies and procedures related to scheduling practices. Ensures optimal resource utilization of general-purpose classrooms and provides excellent service to campus stakeholders as well as colleagues in the Office of the Registrar. Duties & Responsibilities: 1: Ensure the integrity and accuracy of the master schedules for three semesters simultaneously. Identify scheduling discrepancies and provide solutions that adhere to established guidelines and compliance standards. 2: Work with academic departments and campus administration to assign academic spaces for classes and events. Use several systems, including the university's student information system and classroom scheduling software, to optimize general-purpose classroom usage. Devise creative solutions for complex issues related to the general-purpose classroom inventory. Manage and approve event and non-academic classroom assignments in the 25Live system. 3: Establish dates, deadlines, and timelines for all activities related to academic scheduling and general-purpose classroom usage. 4: Directly responsible for the training of newly hired Schedule Specialistswithin the academic colleges. Create and maintain training and operational resources for faculty and staff. 5: Plan and facilitate recurring meetings for Schedule Specialists within academic colleges. Collaborate with them to coordinate workflow across colleges and departments, ensuring adherence to dates, deadlines, policies, and procedures. 6: Responsible for setting up Banner terms and managing the schedule roll. Collaborate with the Assistant Registrar for Registration and Records to configure and maintain Banner registration and grade tables (both baseline and custom), ensuring system accuracy and efficiency. 7: Generate scheduling reports used to maximize class scheduling, utilization, and scheduling accuracy; ensure departments correct scheduling errors prior to student enrollment. Analyze and solve non-routine scheduling and data processing problems. Recommend improvements to enhance reports. 8: Serve as a functional administrator for 25Live. Create and maintain user roles and security groups within the platform. Intentionally develop knowledge and skills through resources and training to improve system functionality. Coordinate with vendor as needed. 9: Reconcile data across Ellucian Banner (SIS), 25Live (scheduling software), and facilities databases to ensure the accuracy of general-purpose classroom information. Identify operational constraints and implement process improvements to enhance efficiency and service delivery related to university scheduling and classroom management. 10: Serve as a liaison with administrative offices that share responsibilities for centrally managed classrooms, such as Facilities Planning and Management and Information Technology Services. 11: Interpret and apply institutional policies, state regulations, and federal compliance standards, such as FERPA, exercising discretion and independent judgment. 12: Represent the Office of the Registrar on committees and initiatives, contributing expertise in academic and room scheduling services. 13: Provide backfill support as needed within the Office of the Registrar, such as assisting with catalog and registration processes. 14: Perform other related duties as assigned to support institutional and departmental objectives. Minimum Qualifications: 1. Bachelor's degree from an accredited institution. 2. Minimum of two years of related experience working with complex database systems and student information systems in a higher education setting. 3. Strong analytical skills and independent problem-solving abilities. Demonstrated organizational skills, attention to detail, and accuracy. Working proficiency in computer applications, including Microsoft Office Suite. Self-motivated, willing to learn, and interested in generating ideas to improve practices. Strong interpersonal, verbal, and written communication skills, with demonstrated ability to foster collaboration. Ability to maintain confidentiality and security of student records, following confidentiality rules established by FERPA and the University. Preferred Qualifications: 1. Master's degree in a related field. 3. Knowledge of Ellucian Banner or other student information systems and 25Live or other relevant scheduling software. Ability to analyze reports; familiarity with Argos or another reporting platform. Proven record of establishing priorities and handling multiple projects simultaneously while maintaining a high level of accuracy. Demonstrated success evaluating and improving business operations. Experience providing leadership, training, and development as well as fostering collaboration in a team setting. Familiarity with relevant regulations and compliance requirements, such as FERPA.
