Salary offers are based on the candidate's equivalent experience and internal equity with other employees within the same job classification. The position is eligible for overtime compensation for all hours worked over 40 in the designated workweek.

The Administrative Specialist provides highly responsible, complex, and confidential administrative duties for the Roadway Maintenance Division.The Administrative Specialist position will provide front-facing customer service and shall require full-time in-person presence.

This recruitment will fill positions that support various Maricopa County yards, including Surprise, New River, Buckeye, Durango, and Germann.

We Require

  • Two years of experience performing office, administrative, and clerical duties

  • High school diploma or GED

  • A combination of post-secondary education and/or job-related experience may substitute for the minimum qualifications on a year-for-year basis

  • Must possess or have the ability to obtain a valid Arizona driver's license by the time of hire

  • Experience working in transportation, construction, or roadway maintenance settings

Job Contributions

  • As the first point of contact, provide customer service in-person and telephonically to internal and external customers, coordinate and receive deliveries, and monitor and respond promptly to entry buzzer requests

  • Staff the Roadway Hazard Hotline (dispatch) and notify the MCDOT customer request system to create requests, assign tasks, and respond to residents using various software systems

  • Order invoices, monitor vendor budgets and purchases, and track purchase order available amounts, along with monitoring and paying daily water usage tickets

  • Create tasks and provide research and reports from Cartegraph software

  • Initiate, track, close, and report on issue tracking software and track completion in Cartegraph

  • Provide administrative services to the Operations and Maintenance Supervisors and Field Supervisors, which include maintaining calendars, scheduling meetings and appointments, prioritizing and resolving complex meeting schedules, and coordinating meeting rooms and resources

  • Maintain, update, track, and audit all logs, including mileage, materials, herbicide, and fencing

  • Audit, file, and report vehicle and equipment inspection sheets, and prepare these and other records for records retention

  • Act as liaison regarding administrative and facility issues related to facilities and operations, and Adopt-a-Road volunteer supply pick-up

  • Create, update, and distribute dispatch and flood response books

  • Gather records to respond to public records requests and litigation holds for the department Records Coordinator

  • Other duties as assigned

Working Conditions

  • Exerting 20 - 25 pounds occasionally, 10 - 25 pounds frequently, or up to 10 pounds constantly

  • Must be able to work in a standard, indoor office environment

  • Office equipment: computer, phone, radio, files, copier, shredder, etc.

  • Software: Cartegraph, DocuSign, in-house applications

Protective equipment required

  • All OSHA-required protective equipment
