What you'll do:

We are looking for a proactive and energetic Office Coordinator to support our global Workplaces team. This unique role involves overseeing our current office location, which will soon be vacated due to an upcoming relocation. Although the space will no longer be in active use, we still expect:

  • Daily or weekly post/mail deliveries

  • Occasional deliveries at the reception

Your primary responsibility will be to manage and maintain the site during this transition period and assist the team as needed.

Note: This is an onsite, part-time role based in Pittsburgh, PA, with working hours from 10:00 AM to 2:00 PM, Monday through Friday. The position is fixed term until the end of January 2026, with the possibility of extension.

As an Office Coordinator, you will be responsible for:

  • Ensuring the old office remains secure and orderly

  • Acting as the primary point of contact for the building manager

  • Collecting mail daily and forwarding it to the new office

  • Receiving and handling incoming deliveries

  • Shredding old documents as required

  • Scanning and organizing documents

  • Occasionally visiting the new office to assist the Office Manager with various tasks

  • Providing coverage for the Office Manager during their absence

What you'll bring:

If you enjoy working both independently and as part of a team, this role is a great fit. While we encourage innovation and initiative, the following skills and experience will help you succeed:

  • 1-2 years of experience in office or workplace management

  • Strong understanding of office operations and best practices

  • Excellent communication skills in English

  • Familiarity with Microsoft Office (Outlook, Word, Excel, etc.)
