Indexing Specialist

Remote, onsite as needed

Summary:

The Indexing Specialist is responsible for reviewing, organizing, and maintaining accurate and easily accessible medical documents in patient medical records. The Indexing Specialist performs quality review of scanned documents, connects medical documents to the correct patient medical record in Epic, and filing the medical document into the appropriate folder within the medical record. This position requires attention to detail to ensure information is accurately categorized and easily accessible for all medical providers and care givers.

Responsibilities:

  1. Follows standard work procedure for indexing medical documents to the appropriate folder in the patient's medical record.
  2. Remains current and knowledgeable on standard work processing for sorting, document separation, and indexing medical documents.
  3. Remains current and knowledgeable on the standard work process for misfiled medical documents.
  4. Remains a working knowledge of using multiple systems when performing daily functions and responsibilities, i.e. Epic and OnBase.
  5. Must be knowledgeable and practice strong attention to detail while attaching test results and specialty documents to the appropriate order in Epic and filing into the appropriate folder. This is a critical step to close the loop on outstanding orders and to meet CPC/contracted plan requirements.
  6. Responsible for assisting the Referral/Test Tracking team in closing the loop on all pending orders.
  7. Strong communication skills are a must. Open communication between team members to share best practices and trouble shoot issues. In addition, must be able to professionally communicate with site staff as needed.
  8. The ability to work independently and as a team. This position requires the ability to self-direct and stay on task to complete daily functions. In addition, this position requires the ability to work as a team with daily/weekly huddles, instant messaging team members with trouble shooting questions, helping team members with their questions, etc.
  9. Knowledge of health care privacy regulations, including HIPAA, Joint Commission, etc.
  10. Other duties as required.

Other information:

Technical Expertise:

  1. Experience in healthcare, medical office, clerical or administrative, is preferred.
  2. Proficiency in MS Office (Outlook, Word, Excel) or similar software is preferred.
  3. Proficiency in computer skills and knowledge required.
  4. Epic experience or electronic medical records experience is preferred.
  5. Must be detail oriented and have problem solving skills.

Education and Experience:

  1. Education: High School Diploma or equivalent is required
  2. Years of relevant experience: 1 to 5 years is preferred.
