Job Summary:

The Advancing the Science of Palliative Care Research Across the Lifespan (ASCENT) Consortium is a national consortium of experts in palliative care that will provide resources, expertise, and coordination to advance innovative, high-quality research to improve palliative care, ultimately improving quality of life for those living with serious illness and those who care for them. You will be joining a dynamic team who is leading the implementation of the goals and priorities of the ASCENT Consortium.

The ASCENT Administrative Coordinator will assist with all day-to-day activities of the ASCENT consortium. As the administrative coordinator, this role is responsible for all consortium meeting scheduling, attending all team meetings, circulating agendas, maintaining minutes, and assisting with tracking consortium activities. This role will also assist with honorarium payments, inputting SOW invoices, purchasing supplies and materials for the consortium, and post-meeting travel reimbursements.

Key Responsibilities:

  • Serve as the primary point of contact for consortium-related administrative tasks.

  • Maintain organized records of consortium activities, financial transactions, and meeting documentation.

  • Assist in coordinating logistics for consortium events, workshops, or conferences.

  • Day-to-day meeting coordination including scheduling, agenda preparation and minutes.

  • Administrative support including purchasing and reimbursements.

  • Communicate with ASCENT consortium stakeholders located across the country.

  • Process honorarium payments for consortium members and external contributors.

  • Input Statements of Work (SOW) invoices into the system for accurate financial tracking.

  • Manage the procurement of supplies and materials necessary for consortium operations.

  • Handle travel reimbursements, ensuring compliance with CU financial policies.

Work Location:

Hybrid - this role is eligible for a hybrid schedule of 2-3 days per week on campus and as needed for in-person meetings.

Qualifications:

Minimum Qualifications:

Entry Level:

  • A bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a related field from an accredited institution.

    • A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

Intermediate Level:

  • A bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a related field from an accredited institution.

    • A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

  • One (1) year of professional level experience with administrative coordination.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • Two (2) or more years of professional experience with administrative coordination.

  • Experience with research operations.

  • Experience with Concur or similar expense management software.

  • Experience with event planning with logistical coordination.

  • Experience with CU Marketplace or similar procurement platform.

  • Experience with Airtable relational database.

  • Experience with asana project management program.

Knowledge, Skills, and Abilities:

  • Ability to prioritize tasks and manage multiple responsibilities efficiently.

  • Strong attention to detail for maintaining accurate records and documentation.

  • Scheduling expertise to coordinate meetings and track consortium activities.

  • Basic accounting knowledge for processing honorarium payments and invoices.

  • Procurement skills to purchase supplies and materials effectively.

  • Expense tracking for managing post-meeting travel reimbursements.

  • Critical thinking to resolve scheduling conflicts and administrative challenges.

  • Flexibility to adjust to changing priorities and unexpected tasks.

  • Proactive approach to anticipate needs and streamline operations.

  • Ability to communicate effectively, both in writing and orally.

  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.

  • Outstanding customer service skills.

Anticipated Pay Range:

The starting salary range (or hiring range) for this position has been established as:

  • Entry Level: $49,973 - $63,566

  • Intermediate Level: $54,383 - $69,175

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
