Position Summary
Position Description:
Program Support:
The Administrative Services Assistant will assist the UNC World View team with program logistics, setup, materials and program registration in university event/reg system. Administrative details also include the following: confirmations, receipts for payments, and invoices. Preparing backup documentation for deposits, preparing main roster of program participants, guests, and speakers is important detail work. The Administrative Services Assistant will also manage program listservs and send pre- and post-program emails on behalf of program leaders, track program drops and no-shows, create nametags for participants, speakers, guests, staff, and compile final roster.

Technology Support:
The Administrative Services Assistant must be knowledgeable in, and is responsible for, managing the operation of video communication software (i.e. hosting a Zoom video conference) This position will act as the technology host of Zoom meetings and/or webinars, and provide technology support to the program leadership. In addition to these core responsibilities, this position will assist in other tasks (including backup for maintaining website) required to execute office duties, as needed.

Support to World View Team. The Administrative Services Assistant will update records, listservs and additional office duties as assigned throughout the year.

This position is a 0.75 FTE or 30 hours per week, for 4 days per week. This position reports to work in person 3 days a week to our offices on campus at UNC Chapel Hill (M - W); and 1 days remote (Th) and off on Fridays. Specifics of work hours and location are subject to change based on the business needs of the unit and will be communicated to the employee from their supervisor. This position logs into the TIMS Time Management System to record work hours for each shift.
Minimum Education and Experience Requirements
High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
Required Qualifications, Competencies, and Experience
Experience in project management and program administration. Commitment to the mission of UNC World View. Must be well organized, work well as a member of a high performance team while being able to initiate, manage, and complete projects independently.
Preferred Qualifications, Competencies, and Experience
Fluency in website creation and editing, comfortable with virtual conference coordination including polling, breakout rooms, trouble shooting tech troubles to ensure all runs smoothly. Working knowledge of the MS Office Suite (Outlook, Word, Excel, PPT, Teams, Sharepoint, etc.), Zoom, Canva, Adobe Acrobat and WordPress. An interest in technology and ability to keep up with the latest tools and trends.

Must be able to move up to 10lbs. with or without reasonable accommodation.
Must be able to work in person on campus during regular business hours.
Some programs may require reporting to work earlier than normal business hours or staying later than the end of the normal work day.
