Summary

Support logistics, coordination, and communication within the department and project teams. Assist with managing end-to-end processes for Maintenance Management Programs, including documentation, asset creation, and preventive maintenance. Facilitate workflows, reporting, and data analysis while ensuring accuracy. Act as a liaison between departments, manage SOP approvals, and provide technical writing support. Oversee KPI reporting, training management, procurement, and invoicing. Coordinate maintenance activities, contractor resources, and compliance tasks as needed. Handle additional tasks and projects assigned by management.

Key Responsibilities

  • Serve as the primary point of contact for all service requests. Analyze, prioritize and assign work orders as needed to internal and external resources. Track and report status of request from receipt through completion, including vendor payments and/or internet cost allocations.
  • Assist with vendor service(s) scope development, sourcing and selection process.
  • Assist with coordination of vendor provided services, which may include PO generation and closeout, notification of scheduled activities to site partners, and proper filing of service reports.
  • Daily management of vendor relationships as may be assigned.
  • Generate and interpret reports from sources such as SAP, Smartsheet and other utilized resources.
  • Assist with data collection and process management related to Lifecycle Analysis and Capital Replacement program.
  • Utilize the CMMS program for effective management and reporting of PM schedules, repair history, completion analysis, and other performance matrixes.
  • Maintain an organized database of system reports and compliance schedule.
  • Participate in Root Cause Analysis discussions, which use problem-solving techniques such as root cause analysis, 5 Whys, DMAIC guidelines to determine the source of quality issues and recommend improvements.
  • Continuous Improvement: Support continuous improvement initiatives by analyzing data, identifying trends, and working with teams to implement process improvements aimed at reducing defects, increasing efficiency, and improving quality.
  • Audit & Compliance: Conduct internal audits and ensure adherence to quality standards and regulatory requirements. Prepare audit reports and work with relevant departments to implement corrective measures.
  • Assist with Lease Administration, which may include tracking of key dates, issuance of Landlord notifications, coordination with Tax and Accounting partners to ensure proper payment compliance.
  • Periodic site visits may be assigned from time to time.
  • Other duties as assigned.

Education and/or Experience

  • Associate degree or equivalent work experience preferred.
  • Minimum of 5 years of relevant experience in business processes or systems analysis.
  • Experience and direct working knowledge within Facility Maintenance Operations.

Skills

  • Experience with regulated environments (i.e., cGMP, OSHA, EPA)
  • Strong customer service skills, written and verbal communication skills, and the ability to work with minimal direction.
  • Ability to review and comprehend complex lease language.
  • Demonstrated ability to function within cross-functional teams and embrace a team-based culture.
  • Ability to utilize Microsoft Excel, Word, PowerPoint, SharePoint, Smartsheet, and various database querying tools.
  • Comprehensive understanding of CMMS systems (Maximo, SAP, Blue Mountain, ETC.)
  • Familiar with Root Cause Analysis and DMAIC process.
  • Excellent oral and written communication, facilitation, organizational and planning skills
  • Proactive, self-starter with strong organizational skills and the ability to take on several projects at one time
  • Ability to lead change.
