POSITION SUMMARY

Responsible for assisting the Director of Records Management with implementing the clean-up and reorganizing of Constellis' SharePoint environment along with analyzing all other electronic records for data quality and accuracy in various electronic records systems. Assisting the Records Management Leadership Team in implementing quality control checks in SharePoint and provide employee training on how to utilize SharePoint efficiently as one of our main Electronic Records Management System.

  • Work with the Director of Records Management, Departmental Leaders and IT to organize all electronic records in a more user-friendly manner.
  • Assist Director with Implementing and monitoring consistent naming conventions for our electronic records with Departmental Leaders so that end users can locate records more efficiently in SharePoint and other various records systems.
  • Conduct the deletions of electronic Records from SharePoint once all approvals have been obtained via our Request for Destruction (RFD)Process.
  • Assist Director with all other various databases/systems that house business records to ensure all abide by Records Management's policies and guidelines.
  • Work with the Director to confirm IT performs any additional purging functions of electronic records once approvals have been obtained to destroy.
  • Work with departments with training, evaluating, updating the naming conventions for their departmental records.
  • Assist in the development of policies and procedures regarding the uploading of business records into SharePoint for various departments.
  • Be the POC and assist with requests regarding electronic records usage and issues on SharePoint in a timely manner.
  • Ensuring records management SharePoint practices adhere to legal, regulatory, and organizational requirements.
  • Evaluating existing records management systems, identifying areas for improvement, and recommending solutions.
  • Assisting with identifying and coordinating the archival of records with historical value.
  • Conduct audits to ensure compliance with established policies and procedures.
  • Report appropriate issues uncovered during departmental inquiries to Director and Information Technology (IT) when necessary and follow up in a timely manner.
  • Reports any risks or concerns found during tasks linked to the safekeeping or integrity of our electronic business records to Director in a timely manner.
  • Maintaining the confidentiality of all personnel and company information is critical and will be required to sign a Confidentiality and Intel Property Agreement.
  • Interact successfully with all levels of our organization.
  • Other duties/projects as assigned.



Qualifications

  • Intermediate to advance level knowledge in Microsoft Office Suite of products is required with the ability to learn new software systems in a timely manner.
  • SharePoint experience with a high level of analytical skills is required.
  • Proficient in utilizing ShareGate within the SharePoint environment.
  • Other content management systems and familiarity with records management and information management principles will be considered.
  • At least 5 years of Records Management experience required.
  • High level of knowledge in the operation of computers, scanners, printers and other technology as needed in support Records Management initiatives and operations.
  • The ability to communicate with all levels of our organization.



Working Conditions

Work is typically based in an office environment and subject to frequent interruptions. May be required to lift and carry awkward items weighing up to 25 lbs. Requires intermittent standing, walking, sitting, squatting, stretching and bending throughout the workday.
