Job Description Job Profile Summary This role focuses on providing administrative and business support to the organization in order to achieve operational goals. In addition, this role focuses on performing the following General Administration duties: Produces documents, collects, records, sorts and files information, handles mail, prepares routine reports, makes travel arrangements, arranges appointments, responds to inquiries, data entry, and operates office equipment. An organizational related support or service (administrative or clerical) role or a role that focuses on support of daily business activities (e.g., technical, clinical, non-clinical) operating in a "hands on" environment. The majority of time is spent in the delivery of support services or activities, typically under supervision. An entry level role that typically requires little to no prior knowledge or experience, work is routine or follows standard procedures, work is closely supervised, and communicates information that requires little explanation or interpretation. Job Overview Responsible for scheduling of Operating Room procedures accurately and in a timely fashion. Performs schedule, receptionist, and other support duties such as maintains log book and statistics. Job Description Minimum Qualifications: 1. High school diploma or equivalent. 2. One (1) year of experience with scheduling clinical procedures. Preferred Qualifications: 1. Two (2) years of experience with scheduling clinical procedures. Duties and Responsibilities: The duties and responsibilities listed below are intended to describe the general nature of work and are not intended to be an all-inclusive list. Other duties and responsibilities may be assigned. 1. Interacts and coordinates schedules for Physicians as well as Patients for the Operating Room. 2. Prints daily schedules for Operating Room Staff. 3. Responsible for daily contact with Physician's office to ensure schedule accuracy. 4. Runs monthly statistical reports in the MSM system. 5. Acts as a liaison between Operating Room staff and other members of the hospital as well as the community. 6. Screens phone calls and relays messages to appropriate staff members. 7. Maintains Operating Room bulletin board as well as physician message board. 8. Participates in staff meetings. 9. Updates physician's preference cards. 10. Collects intra-operative data and inputs the date into the Operating Room computer. 11. Schedules distribution throughout the hospital. 12. Relays any necessary/special equipment requests/supplies to the Director of Surgical Services or designee. Physical Requirements: 1. Frequent sitting, occasional standing or working, and lifting of 10-15 lbs. 2. May be exposed to dust and other typical office-like discomforts. 3. Manual dexterity using fine hand manipulations for computer keyboard operation. 4. Requires ability to see computer screen and read reports. 5. Requires ability to hear instructions from physicians and other clinical or nursing staff. Skills & Abilities: 1. Computer literacy required including familiarity with word processing programs and electronic spreadsheets and has ability to learn new applications. 2. Excellent interpersonal and customer service skills including excellent interpersonal and telephone skills. 3. High degree of tact is necessary due to frequent interaction with patients, physicians, and insurance companies. 4. Ability to perform Operating Room scheduling using Meditech and MSM. 5. Knowledge of medical terminology. 6. Excellent organizational skills required with attention to detail. Ability to prioritize work and be flexible with work assignments. 7. Ability to work independently with a minimum of supervision in routine matters. 8. Excellent organizational skills. 9. Ability to follow up and follow through on items related to scheduling. 10. Self-motivated. |
