A Brief Overview

Reporting to the Senior Director of Global Medicine Business Development, the Project Coordinator supports the activities of Business Development Directors. He/She will be responsible for coordination of international travel of the BD Directors and CHOP staff participating in complex international business development trips, conferences, consulting and clinical care activities. The Project Coordinator will support the logistic and administrative needs of outreach efforts and new projects, including Healthcloud contact management, invoicing, project planning and project tracking.

The Project Coordinator will serve as a primary point of contract responsible for all travel and expense aspects of business development trips. They will work directly with participating staff members and ensure coordination of complex schedules, meetings, and compliance with travel and expense policies. She/he monitors the administrative needs and priorities of each business development director, and their areas of focus. The Project Coordinator keeps track of deadlines, works on several projects at once, and has a good understanding of other Global Medicine teams: Global Patient Services, Global Pediatric Education and Global Health. Additionally the project coordinator may be asked to assist with onsite event planning.

She/he communicates and interacts with a wide variety of collaborators including CHOP senior leadership, international partners, other CHOP departments and staff, medical and nursing staff, and trainees.

What you will do

Essential Functions

Global Medicine Business Development Outreach Activity Support

  • Arranging international and domestic travel for CHOP staff participating in business development activities, interfacing with CHOP staff and outside travel vendors.
  • Complete expense reports for travel and miscellaneous expenses of CHOP staff participating in outreach activities.
  • Prepare pre-visit briefings for all participants, including schedule, travel arrangements, country briefings, and CHOP travel policies.
  • Maintaining detailed records of planned, ongoing and completed business development trips planned, and maintaining internal trip tracking documents
  • Interfacing with internal finance staff, as well as external vendors in performing calculations of costs, invoices and monies due to or from the department related to BD activities

Business Development Project Support

  • Provide logistical and programmatic support to projects as they arise, including scheduling, invoicing, background research on hospitals and individuals, and collecting licensure documentation.
  • Maintain awareness of all ongoing outreach efforts and projects and manage internal project tracker
  • Regularly meet with all three BD directors to understand administrative priorities and discuss project updates, scheduling of meetings and calendar support as needed
  • Attend and participate in quarterly marketing meetings and provide support for marketing initiatives as needed
  • Support visiting delegations, including meeting scheduling, communicating with internal and external participants, and accompanying visitors

Education Qualifications

  • High School Diploma / GED - Required
  • Bachelor's Degree - Preferred

Experience Qualifications

  • At least three (3) years of administration, coordination or program experience - Required and
  • At least one (1) year of leadership, management, or supervisory experience - Required
  • At least five (5) years of administration, coordination or program experience - Preferred
  • At least three (3) years of leadership, management, or supervisory experience - Preferred
  • At least three (3) years of experience in a healthcare related environment - Preferred

Salary ranges are shown for full-time jobs. If you're working part-time, your pay will be adjusted accordingly.
