The Event Specialist is a vital member of the UnitedHealth Group's Enterprise Events Management team, supporting both internal, external and executive events. This role is responsible for logistical coordination, inventory management, and shipping of event materials, ensuring smooth execution and alignment with enterprise standards. Success in this role requires comfort navigating a highly matrixed organization, managing multiple stakeholders, and adapting to shifting priorities. This position requires the ability to work in a fast-paced environment with a desire to drive successful and productive outcomes on a consistent basis. The ideal candidate is highly organized, detail-oriented, thrives in a collaborative and fast paced environment and has a passion for corporate events.

This position is full-time Monday - Friday. Employees are required to have flexibility to work any of our 8-hour shift schedules during our normal business hours of 8:00am - 5:00pm. It may be necessary, given the business need, to work occasional overtime.

We offer 4 weeks of on-the-job training. The hours of training will be aligned with your schedule.

Primary Responsibilities:

  • Support Event Managers with pre-event planning, on-site execution, and post-event wrap-up.
  • Coordinate speaker travel, lodging, and other logistical arrangements.
  • Process invoices and expenses related to events, vendors, and travel.
  • Provide ongoing reports to Event Managers and business partners within the enterprise.
  • Coordinate the shipping, receiving, and tracking of event materials.
  • Own the organization and inventory management of the event storage cage, ensuring supplies are maintained, cataloged, and ready for deployment.
  • Assist with attendee communications, registration support, and vendor coordination as needed.
  • Maintain accurate documentation and reporting related to event logistics and inventory.
  • Demonstrate flexibility and resilience in managing last-minute changes, tight deadlines, and complex internal workflows.
  • Collaborate with cross-functional teams to ensure alignment with brand and corporate standards. This includes navigating internal processes, securing necessary approvals, and managing communications across multiple departments.
  • Provide in-office support for up to four days per week in Washington, DC.

Required Qualifications:

  • High School Diploma / GED
  • Must be 18 years of age OR older
  • 3+ years of experience in event coordination within a corporate or hospitality setting
  • 3+ years recent experience in a deadline driven environment, with demonstrated ability to manage competing priorities and stakeholder expectations.
  • 1+ years of proficiency in Cvent (Event Platform)
  • Microsoft Office Suite experience (Word, Excel, Outlook, PowerPoint, Teams).
  • Ability to lift and move boxes and supplies (up to 30 lbs) as part of inventory and shipping duties.
  • Ability to work a hybrid schedule, with four days per week onsite at 655 New York Ave NW, Washington, DC 20001
  • Ability to travel up to 25% of the time for onsite event execution.

Preferred Qualifications:

  • Experience in a strategic meeting management function within a Fortune 500 firm
  • Experience with Adobe platforms (e.g., Workfront)
  • Experience with Ariba and Concur
  • Familiarity with inventory management systems or tools

Telecommuting Requirements:

  • Reside within commutable distance to the office at 655 New York Ave NW, Washington, DC 20001.
  • Ability to keep all company sensitive documents secure (if applicable)
  • Required to have a dedicated work area established that is separated from other living areas and provides information privacy.
  • Must live in a location that can receive a UnitedHealth Group approved high-speed internet connection or leverage an existing high-speed internet service.

Soft Skills:

  • Strong communication skills and ability to work cross-functionally
  • Strong organizational skills and attention to detail. Ability to work independently while supporting multiple planners across teams.
  • Demonstrated ability to meet deadlines

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). No matter where or when you begin a career with us, you'll find a far-reaching choice of benefits and incentives. The salary for this role will range from $58,800 - $105,000 annually based on full-time employment. We comply with all minimum wage laws as applicable.
