Posting Summary
Rutgers, The State University of New Jersey is seeking a Program Coordinator I for the School of Social Work. Reporting directly to the Newark Campus Coordinator, this position provides administrative support to the School of Social Work Office on the Newark Campus.
Among the key duties of the position are the following:

  • Performs specialized administrative duties requiring the use of good judgment in making decisions in accordance with departmental policies.
  • Provides exceptional support and customer service to students, faculty, and staff at the School of Social Work.
  • Supports the daily functions of the office with an emphasis on effective communication, organization, record keeping and analysis, attention to detail, handling multiple projects, working independently and within a team, confidentiality, and thorough knowledge of the School of Social Work.
  • Supports the day-to-day operations of the SSW Newark Office and its facilities, including fielding inquiries, managing vendor relations, scheduling classrooms and meeting space, maintenance of office equipment and supplies, and supervising and training work study students.
  • Acts as a liaison with the SSW Student Affairs, Practicum Office, and Business Office, ensuring continuity of business across the unit.
  • Plans logistics and managing and executing Special Events and Programs held by Student Affairs in Newark and the Student Activities Committee.
  • Supports the Newark Practicum Team with student placement processes, including but not limited to liaison assignments, tracking evaluations, communicating with liaisons and instructors, maintaining affiliation agreements, collaborating across Practicum teams, and assisting with scheduling workshops.
  • Provides student support and light advisement; fielding questions and managing communication channels, as well as collaborating with Student Affairs and other units to resolve student issues.
  • Maintains confidential student records and data.

Minimum Education and Experience
  • Bachelor's degree in social work or related field and a minimum of two (2) years of relevant experience, preferably in a Higher Education setting; or an equivalent combination of education and/or experience.
Certifications/Licenses
Required Knowledge, Skills, and Abilities

  • Highly motivated, with strong attention to detail.
  • Ability to handle considerable and varied responsibilities in a fast-paced environment.
  • Ability to work well independently and as part of a team.
  • Excellent computer skills and experience using software tools, such as Microsoft Word, Excel, PowerPoint.
  • Strong communication skills.
  • Strong writing skills sufficient to draft correspondence that is clear and concise.

  • Ability to handle multiple tasks, responding flexibly and positively in all circumstances.

Preferred Qualifications

  • Experience in Higher Education and/or knowledge of the Rutgers University environment and administrative structure.
  • Strong understanding of University processes and procedures for departments at Rutgers University in Camden, Newark, and New Brunswick.
  • Experience with Scholarchip, Canvas, Grad Portal, IMS and certain University Financial applications (Expense Management and Marketplace) in Cornerstone.
  • Advanced knowledge of the graduate admission process, the graduate registrar's registration processes and procedures which includes graduation requirements in order to identify and create our new and continuing student databases with accuracy.

Equipment Utilized

  • Windows computer and expertise with the following software: Microsoft Office (Word, PowerPoint, Excel, Access).
  • Ability to work with database systems and any technology needed to support the role, hybrid work, and virtual event attendance and management.
