Starting Pay:

$22.00 Hourly

Position Description:
Oversees day-to-day management of the facilities work orders for Goodwill of Central and Northern Arizona (GCNA) and its affiliated entities. Works together with facilities team in tracking expenses and coordinating with external vendors and arranging for repairs and special projects. Must have basic mechanical, construction and computer knowledge in order to be successful in this field. May also provide administrative support for additional departments, as needed.

Essential Duties and Responsibilities:

  • Develops processes and procedures that ensure the efficient and cost-effective running of the Facilities Team.
  • Ensures the day-to-day operations align with organizational objectives.
  • Submits invoices for approval and routes contracts through appropriate processes.
  • Ensures high-level customer service is provided by the Facilities team through the use of email and phone calls.
  • Manages inbound inquiries from vendors, and sets up new ones in AP system as necessary to assist Facilities Supervisors.
  • Coordinates efforts with various Goodwill divisions, as needed.
  • Oversees all maintenance work orders for the company.
  • Contacts vendors and works with techs in the field to complete work orders.
  • Submits vendor invoices for approval processes.
  • Maintains all work orders, emergency and preventative with thorough follow-up.
  • Maintains relationships with current vendors and expresses initiative in seeking out new vendors for various special projects.
  • Tracks and manages work orders and their associated data, such as assignments, comments, labor, expenses, materials, and photos, when necessary.
  • Must be able to quickly acquire a thorough knowledge of policies and procedures and understand the mission, vision, and culture of the organization.
  • Assists Facilities Management with computer-based tasks, as assigned by Director of Construction & Facilities Management.

  • Performs other related duties, as assigned.

Minimum Qualifications (Education, Experience, Skills):

  • 2-4 years' experience as an administrative professional in a corporate setting preferred.
  • Experience running a large, modern, Computerized Maintenance Management System (CMMS).
  • Experience managing an office environment, preferred.
  • Strong customer service orientation and organization skills required.
  • Must be proficient in Microsoft Word, Excel, PowerPoint and Outlook.
  • Ability to multi-task and work in a fast-paced environment.
  • High attention to detail and accuracy.
  • Bilingual in English and Spanish preferred, with the ability to speak and read English proficiently, required.
  • Ability to pass a background check and drug screen, where applicable for position.
