Administrative Assistant

Position Overview:

The Administrative Assistant is responsible for providing administrative support throughout the Inland Group and reports to the Director, Inland Fluids, located in the Charlotte Corporate office.

Essential Duties and Responsibilities (Including but not limited to):

  • Coordinate conference calls and meeting requests
  • Prepare minutes for weekly conference calls
  • Coordinate travel arrangements
  • Manage inventory of office stationery and other office supplies
  • Assist with the processing of credit card payments on the commercial accounts
  • Manage mail/courier pick-up and distribution and bank deposits
  • Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices
  • Promote good relations with suppliers and subcontractors that supply good and services to Inland
  • Work cooperatively with all team members and external stakeholders involved in the completion of assigned duties
  • Foster a team environment and create a "group culture"
  • Drive and maintain a high level of efficiency and productivity
  • Perform/complete other additional projects, duties, and assignments as required and/or by request

Required Skills and Experience:

  • Must be at least 18 years old
  • High school diploma or equivalent
  • Certificate in Office Administration preferred
  • Intermediate computer skills with working knowledge of Microsoft programs (Outlook, Word, Excel)
  • Strong attention to detail when entering data accurately and efficiently
  • Self-starter with ability to prioritize workload to ensure deadlines are met
  • Willing to learn new skills and adapt to change in order to support the growth of the company
  • Working experience or education in an accounting role, preferably Accounts Payable considered as an asset
  • Work requires continual attention-to-detail in composing, typing and proofing materials, establishing priorities and meeting deadlines

Work Environment:

  • Indoor office environment with the potential of remaining seated for extended periods of time
  • Continuous use of a computer, keyboard, and mouse

Physical Demands:

  • Position may require the ability to carry, push, pull, and lift up to 25 pounds
  • Must operate office equipment as needed

Travel:

  • No travel is anticipated for this position
