Under the supervision of the Senior Operations Manager and/or Practice Coordinator, acts as a floater throughout the Health Center including Registration, Medical Records, Information Desk, Specialty Clinic and Administration to cover vacations/absences or shortages. Works with all levels in the organization including physicians, nurses and other clinical staff members to ensure a quality-based, customer-oriented workflow. Handles registration, front-desk responsibilities, managed care issues and assists patients in all coverage areas. Serves as a resource person for support staff.
Ambulatory Practice Assistant Senior - Float 1.Includes duties and responsibilities of the Practice Assistant II, Medical Records clerk, Call Center agent, as well as: 2.Orient and train new administrative support staff members. 3.Book appointments, answer phones, assist patients per protocol of each Department, including handling urgent scenarios according to Departmental procedures. 4.Check eligibility status on the non-contracted payors reports. 5.Understands managed care plans, HMOs, and unusual coverages and provides information to patients regarding eligibility. Ensure that practice employees understand insurances, apprise patients of insurance eligibility, and utilize appropriate waiver forms. 6.Work on various projects as directed by management, which may include monitoring rescheduling lists, monitoring wait lists, and work queue monitoring and support. 7.Works closely with the clinical and operational staff to determine needs and solve problems. 8.Troubleshoots problems with customer service issues. 9.Follows protocols for each Departments and collaborates with management on suggested workflows. 10.May prepare manuals /handbooks. 11.Be trained as an EPIC Super User 12.May handle inventory, maintenance and the ordering of supplies. 13.Performs all other duties that are practice specific and are appropriate to this level. Education High School Diploma or Equivalent required Can this role accept experience in lieu of a degree? No Licenses and Credentials Experience office experience 3-5 years required Knowledge, Skills and Abilities - Strong technology and MS Office skills - Advanced Outlook, Word, Excel, PowerPoint Knowledge of office operations and standards and understanding of office procedures including filing, copying, scanning, printing and faxing. - Ability to use phone system and manage more non-routine phone calls and solve routine issues as appropriate. - Communicating effectively in writing as appropriate for the needs of the audience and Talking to others to convey information effectively. - Understanding written sentences and paragraphs in work related documents, to correspond and communicate with others clearly and effectively (including composing/editing e-mail, memos and letters), and to take complete and accurate messages. - Managing one's own time and the time of others. - Well organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems. - Ability to proofread and edit written documents.
