Job Description - Enterprise Program Specialist I & II

Position Description & Responsibilities

A Program Specialist provides foundational support to program managers and project teams by coordinating logistics, maintaining documentation, and assisting with communication and reporting. The Program Specialist is accountable in a matrix relationship to Program Leadership Teams, and reports to the manager of the Enterprise Program Management Team. The Program Specialist works closely with business area Program Managers and Project Managers overseeing and delivering individual projects and programs.

This position will take on leadership roles on small programs and other initiatives that require coordination support. With limited supervision, the Program Specialist collaborates with and supports business area project teams to execute strategic business initiatives. This role requires a strategic thinker who can engage collaboratively with both business and technical stakeholders to define program goals, facilitate execution, and ensure delivery of measurable business value.

Position-Related Responsibilities

Enterprise Program Specialist I

  • Serve as the primary coordination point for complex, cross-functional programs.
  • Manage interdependencies between projects and ensure alignment with program goals.
  • Consolidate reporting, KPI tracking, and communication at the program level.
  • Support program financial tracking and vendor coordination.
  • Assist in the development of program charters, governance structures, and communication plans.
  • Identify risks and support mitigation planning in collaboration with program managers.
  • Lead small programs and other initiatives that require coordination.

Enterprise Program Specialist II

  • Assist in planning and coordinating program activities across teams and departments.
  • Track project timelines, deliverables, and milestones to ensure alignment with goals.
  • Support risk management by identifying potential issues and escalating as needed.
  • Maintain documentation, reports, and dashboards for program tracking and communication.
  • Help facilitate meetings, prepare agendas, and capture action items.
  • Communicate updates and progress to stakeholders and team members.
  • Collaborate with cross-functional teams to gather requirements and monitor dependencies.
  • Support budget tracking and resource allocation under the guidance of senior managers.
  • Contribute to process improvement initiatives and standard operating procedures.
  • Lead medium-sized programs and other initiatives that require coordination.

Knowledge, Skills & Abilities (Equivalent combination of education and experience will be considered.)

Enterprise Program Specialist I

  • Associate or bachelor's degree in business, communications, or a related field.
  • 1-2 years of administrative or coordination experience, preferably in a project or program setting.
  • Strong organizational and communication skills.
  • Familiarity with project management tools and methodologies (e.g., Agile, Waterfall).
  • Proficiency in Microsoft Office Suite and collaboration platform.

Enterprise Program Specialist II

  • Bachelor's degree required; coursework or certification in project/program management preferred.
  • 3-5 years of experience in program or project coordination roles.
  • Demonstrated ability to manage multiple priorities and stakeholders.
  • Experience with project management tools and methodologies (e.g., Agile, Waterfall).
  • Strong analytical, communication, and problem-solving skills.

Pay Rate: Salary determined based on candidates experience and qualifications.
