What We're Looking For: We are seeking a personable and professional Front Desk Coordinator to be the first point of contact for our guests. This role requires a warm, welcoming demeanor and a high standard of customer service, ensuring that each guest's experience is exceptional from arrival to departure. The ideal candidate will have experience in a luxury spa, hospitality, or fitness environment and be committed to creating a memorable, personalized experience for each visitor. As part of a dedicated wellness team, you will contribute to a tranquil environment where guests can rejuvenate and unwind.

What You'll Be Doing:

  • Manage bookings for spa treatments, fitness classes, personal training sessions, and tennis and pickleball sessions maximizing efficiency and ensuring smooth operations.

  • Maintain comprehensive knowledge of all spa and fitness offerings, including treatments, products, memberships, and resort amenities, and be able to effectively communicate these to guests.

  • Assist in creating personalized wellness journeys for guests, collaborating with the spa team to recommend complementary treatments.

  • Facilitate a seamless check-in and check-out process, handling guest inquiries, processing payments, and ensuring all required forms and waivers are completed.

  • Proactively suggest additional treatments, services, or products that may enhance the guest's experience.

  • Liaise with spa therapists, fitness instructors, and other departments to ensure smooth scheduling.

  • Relay guest requests promptly and accurately.

  • Manage and enroll guests in memberships.

  • Ensure the fitness center and all equipment are impeccably maintained, safe, and aligned with our luxury standards, including managing inventory of fitness supplies.

  • Maintain a clean, safe, and hygienic work environment that reflects the high standards of a luxury spa & fitness center.

  • Maintain the highest standards of professionalism, courtesy, and service, ensuring a warm and welcoming atmosphere.

  • Adhere to the resort's service protocols, ensuring confidentiality and respect for guest privacy at all times.

  • Ensure the safety and well-being of all guests.

  • Assist with wellness workshops, special events, and promotional activities as needed.

Your Experience Includes:

  • Previous experience in a front desk, receptionist, or customer service role, preferably in a luxury spa, resort, or fitness environment.

  • Exceptional interpersonal and communication skills with a professional appearance and demeanor.

  • Strong organizational abilities and impeccable attention to detail.

  • Able to manage multiple tasks and reservations.

  • Ability to create a positive and inclusive environment for all guests.

  • Proficient in basic computer systems and booking software; experience with spa or hospitality software is a plus.

  • Passion for wellness, fitness, and luxury service; knowledge of spa treatments and fitness programs is desirable.

  • Fluent in English (additional languages are an advantage).

  • Ability to work flexible hours, including weekends and holidays.

  • Experience with Book4Time software preferred.

  • CPR and First Aid certification is preferred.
