Pay Range: $20-21/hr

Role Description: A receptionist serves as the front-line representative of a company or organization, responsible for creating a positive first impression for visitors, clients, and employees. This role involves various administrative and customer service tasks to ensure smooth operations and excellent communication within the organization. The role is also be responsible for answering incoming calls, directing calls to appropriate departments, mail distribution and flow of correspondence.

Roles & Responsibilities

* Professionally and cheerfully answers all incoming phone calls, directing them to the appropriate staff

* Extends a courteous and professional greeting to guests, vendors, prospective applicants, and clients.

* Maintains security measures according to Firstsource procedures, including monitoring the logbook and issuing visitor badges.

* Manages incoming and outgoing mail and overnight packages, ensuring timely distribution to designated employees.

* Collaborates with the recruitment team to handle applicant packets and notify the relevant parties of prospective applicants' arrivals.

* Takes responsibility for the distribution of training badges to new hires on their start dates.

* Keeps track of supply inventory and initiates supply orders as needed.

* Updates phone lists for the leadership team and distributes them accordingly.

* Provides support in planning company events such as holiday parties and community gatherings.

* Assists leadership in making travel arrangements.

* Coordinates and orders lunches for visitors, clients, and management, and assists in preparing the conference room when necessary.

* Types memos, correspondence, letters, and other requested reports professionally and accurately.

* Efficiently communicate announcements via the paging system Expected/Key Results

* 100% efficiency of tasks (blocking visitor cabins, providing visitor badges, handling packages, forwarding incoming emails, etc)

* Meet customer expectations

* Zero instances of breach in confidentiality and credibility in internal and external communication

Preferred Education Qualification * High school graduate or equivalent

Preferred Work Experience

* 6 months - 1 year customer service experience

* Previous receptionist experience Competencies & Skills

* Excellent communication skills, both verbal and written

* Strong interpersonal skills and a friendly, approachable demeanor

* Proficient in using office equipment such as phones, computers, and printers

* Basic knowledge of office software (e.g., Microsoft Office Suite, email clients)

* Organizational skills with the ability to multitask and manage time effectively

* Problem-solving abilities and the capability to remain calm under pressure

* Professional appearance and behavior

* Customer service experience is advantageous
