Job Purpose

The Executive Assistant will provide high-level administrative support to fairlife, LLC's Executive Leadership Team (ELT) by acting as a project manager of people: conducting meeting coordination, preparing reports and presentations, handling information requests, managing business-related event planning and coordination, and performing a wide variety of other administrative functions. An ideal candidate is responsive, thoughtful, self-directed, positive, and can communicate effectively and efficiently.

Key Responsibilities



  • Serve as a trusted business partner, managing time, priorities, and communication for the Chief Supply Chain Officer.
  • Own calendar and meeting discipline: schedule, confirm attendance, and escalate when necessary to ensure participation.
  • Coordinate logistics for meetings, events, and offsites (virtual and in-person), including catering, A/V, and travel arrangements.
  • Prepare and edit presentations, reports, and executive communications with precision and professionalism.
  • Anticipate needs and act independently to resolve issues before they arise.
  • Maintain strong follow-up routines with internal teams and external stakeholders.
  • Partner with other Executive Assistants to align calendars and support cross-functional projects.
  • Manage expense reports and ad hoc projects with accuracy and timeliness.
  • Build trust quickly with new stakeholders and maintain open communication.
  • Identify opportunities to streamline processes and improve efficiency.

Qualifications



  • Bachelor's degree preferred or equivalent experience.
  • 5+ years supporting top level executives in fast-paced, high-growth environments.
  • Strong project management skills with experience coordinating complex events and initiatives.
  • Advanced proficiency in Microsoft Office (Outlook, PowerPoint, Excel).
  • Exceptional organizational skills and ability to manage multiple priorities under pressure.
  • High level of discretion, professionalism, and judgment.
  • Comfortable holding others accountable and influencing outcomes with tact.
  • Flexible and adaptable to changing priorities and work styles.
  • Ability to work primarily onsite with occasional travel.

$90,000 $110,000 USD
