Job Description: Regional Project Accounting Specialist
Location: Albany, OR Employment Type: Full-Time, Non-Exempt Hourly Rate: $24-$26 per hour
Position Summary
The Regional Project Accounting Specialist is an integral member of the accounting team and is responsible for managing all aspects of job cost accounting for multiple construction projects. This position provides consistent support to Project Managers, Project Engineers, internal departments, and external customers. The Regional Project Accounting Specialist ensures the timely and accurate processing of contract documentation, job cost reporting, accounts receivable, accounts payable, and compliance documentation.
The role requires strong organizational skills, confidentiality, communication, and the ability to meet deadlines in a fast-paced environment. The position also serves as an on-site support resource for vendors and employees at the Albany office location and will also provide key support with shipping and receiving.
Essential Duties & Responsibilities

Project Accounting & Job Cost Management
- Set up new job accounts and proper job cost coding within the ERP system.
- Maintain job cost accuracy through ongoing analysis, reconciliation, and reporting.
- Prepare progress billings to customers and final billings at project closeout.
- Create and distribute final letters for purchase orders/Subcontracts.
- Gather information during audit of requested documentation.
- Maintain all project-related financial data, documents, and records.
Accounts Receivable & Payable
- Review invoices, ensuring compliance documentation and approvals are in place.
- Ensure PO's are complete with accurate information for processing.
- Prepare and submit customer invoices and follow up on outstanding receivables.
- Assist with other AR/AP duties as assigned.
Internal & External Coordination
- Provide accounting support to Project Managers, Project Engineers, and field teams.
- Coordinate regularly with customer project accountants and internal departments.
- Offer on-site support for employee needs at the Albany office.
- Assist the Maintenance Department with shipping/receiving tasks as needed.
General Accounting & Administrative Support
- Maintain confidentiality of financial and personnel information.
- Support departmental deadlines with a high degree of accuracy and efficiency.
- Perform other accounting or administrative duties as assigned.
Required Qualifications
- High School Diploma or GED.
- 2+ years of project accounting experience or educational background.
- Minimum 2 years of construction industry experience.
- Intermediate proficiency with Excel (functions, formulas, pivot tables).
- Proficiency with Viewpoint ERP.
- Understanding of job cost accounting principles.
- Ability to work both independently and collaboratively in a team environment.
- Strong communication, organization, and problem-solving skills.
Preferred Qualifications
- Experience with job cost codes, general ledger accounting, and construction billing.
Working Conditions & Physical Requirements
- Work is performed primarily in an office environment with standard office equipment.
- Ability to remain seated for extended periods and perform computer-based tasks.
- Occasional lifting of up to 20 lbs. (such as files, office supplies, or shipping/receiving items).
- Ability to communicate clearly in person, by phone, and by email.

Work Schedule
