The Meeting & Event Manager (MEM) serves as the primary client liaison and team leader for assigned programs and events within the pharma and life sciences sector. This role manages the overall coordination and execution of programs/events from an operational perspective, ensuring compliance with industry regulations and delivering exceptional customer service.

The MEM is responsible for all aspects of program planning, including advisory boards, ad boards, investigator meetings, and other HCP-focused events, while maintaining strict adherence to client budgets and forecasting requirements.

What You'll Be Doing

  • Serve as the primary client liaison and team leader for assigned pharma/life sciences programs and events, including advisory boards, ad boards, investigator meetings, and other HCP-focused engagements.

  • Develop and manage comprehensive project timelines and budgets; ensure compliance with industry regulations and client business rules.

  • Negotiate and manage supplier relationships (AV, hotel, DMC, air, and third-party vendors); monitor attrition dates and cancellation policies.

  • Oversee financials, including expense tracking, revenue forecasting, and profitability targets; manage invoicing and final billing.

  • Lead project teams through development, production, and quality assurance phases; maintain proactive communication with clients and internal stakeholders.

  • Provide onsite leadership during events, anticipate and resolve challenges, and ensure flawless execution of all program elements.

What You'll Bring

  • Bachelor's degree or equivalent experience.

  • Minimum 3+ years of meeting/event planning experience within pharma/life sciences, specifically in HCP-focused programs (advisory boards, investigator meetings, ad boards).

  • Cvent experience.

  • Strong knowledge of event management, compliance requirements, and budget maintenance.

  • Proven ability to develop and maintain key client relationships.

  • Excellent oral presentation and writing skills.

  • Ability to manage multiple projects and competing priorities effectively.

  • Proficiency in Microsoft Office and ability to learn new technologies quickly.

Nice To Have

  • International hotel and destination knowledge.

  • Experience with incentive programs or association/corporate meetings.

  • Familiarity with industry-specific compliance platforms and reporting tools.

Working Logistics & Things You Should Know

  • This is a remote role that supports a client operating on EST.

  • Travel is required - approximately 25-30%.
