The Project Construction Coordinator position supports the entire Construction Team's Field roles including Construction Managers and Regional Directors of Construction. The Construction Coordinator provides administrative leadership of the development process from the due diligence phase all the way through the warranty administration phase. The Construction Coordinator oversees Company Restaurant Development CAPEX and liaises with accounting, general contractor, vendors and consultant contracts. The Construction Coordinator tracks and follows up with all vendor orders for Company and Franchise NROs, Development Turnover support, Property Development support as needed. In addition, the Construction Coordinator will work closely with the PMO Team tracking milestone dates and vendor order fulfillment.

The Construction Coordinator is to apply effective organizational skills and discipline to coordinate and administer all expected tasks. The Construction Coordinator is expected to utilize electronic systems including Microsoft Office Word, Excel and PowerPoint, and various mail and scheduling tools to provide timely results. The Construction Coordinator is required to have excellent organizational skills, discipline, follow up skills, closure skills, coordination skills and leverage both internal and external relationships including Vendors, Contractors, Landlords and Jurisdictional Contacts to achieve effective results.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Support of Construction Managers

  • Responsible for problem solving to support Development Turnover delivery
  • Responsible for Vendor support to ensure efficient delivery of all buy-out items
  • Responsible for supporting and validating payment requests, license applications and administrative support

Consultant and Vendor Contracts & Invoices:

  • Responsible for procuring all Property Development and Construction Buy-Out Consultant and Vendor Proposals on schedule. Review all proposals for accuracy prior to circulating for internal signatures.
  • Responsible for networking with all Vendors to answer questions and follow up to ensure materials and services are contracted and scheduled on time.
  • Responsible to develop and maintain excellent working relationships with all Vendors and coach/evaluate them as needed to meet our delivery and quality expectations.
  • Responsible for procuring and administering all Restaurant Project Invoices to ensure Invoices are accurate, received in a timely fashion and approved/rejected by internal parties.
  • Responsible for maintaining accuracy in ProTrack and Workday for all Contracts and Invoices.

General Contractor Pay Applications (Company Restaurants only):

  • Responsible for auditing all General Contractor Pay Applications in QPT.
  • Responsible for making General Contractor Pay Application recommendations for approval.
  • Responsible for coordinating payment of all General Contractor Reimbursable Pay Applications in concert with Developer Draw Request schedules and GC AIA payment terms.

Reimbursable Data Administration:

  • Responsible for making all Developer Reimbursable Draw Requests to the Accounting Team.
  • Responsible for coordinating all Developer requirements for Draw Requests.
  • Responsible for collecting and tracking all Developer Draw Requests.
  • Responsible for maintaining all CAPEX (Company Restaurants only).

CAPEX Final Financial Close Out:

  • Responsible to liaise with Accounting on close out of all CAPEX projects.
  • Responsible for reconciling and auditing all CAPEX projects prior to Final Financial Close Out.

Landlord Requests for Information

  • Responsible for supporting Landlord Estoppel Requests and Miscellaneous Landlord Requests for Information.

Application Support:

  • Responsible for providing information, support or completion of various documents as needed including utility applications, licenses and permits.

Development Turnover Support:

  • Responsible for the Support of Construction Managers leading up to and during NRO Turnover process.
  • Responsible for scheduling Development Turnovers with vendors and Development Team resources.
  • Responsible for coordinating and delivering Turnover documents for Restaurant delivery.

General:

  • Responsible for various Development support tasks, coordination and administration in support of the Development Team as needed.
  • Duties and Tasks may require after hours and weekends.

  • Coordination: The ability to organize and execute multiple tasks in a dynamic environment. The ability to network and engage internal and external resources and decision makers to accelerate action and results.
  • Administration: The ability to leverage various electronic platforms and communication tools to deliver results.
  • Time Management: The ability to utilize systems to realize the most effective use of time and resources.
  • Quality Management: The ability to deliver on time and accurate results. A great deal of self-discipline, accuracy, follow up and problem-solving coordination is expected and required of the successful candidate.

  • Microsoft Proficient with a focus on Word, Excel, PowerPoint, Sales Force and SmartSheets
