Overview
USU's Concurrent Enrollment (CE) program enables high school students to take college courses at their local high schools. The Concurrent Enrollment Program Coordinator I helps manage and oversee the daily operations of Utah State University's Concurrent Enrollment program. This role blends routine operational activities with broader program administration by reporting to and working closely with the Director for Concurrent Enrollment to ensure smooth operations and continuous improvement. The Program Coordinator serves as a key point of contact for high school partners, instructors, students, campus departments, and statewide campus coordinators.

Responsibilities
Student Services & Customer Support - 40%
  • Serve as the principal liaison for USU Concurrent Enrollment for students, parents, high school staff, and statewide campus coordinators by providing consulting and outstanding customer service over the telephone, in email correspondence, and in person.
  • Facilitate high school students, their parents, and high school staff in USU's Concurrent Enrollment admission and course registration process.
  • Guide parents and students in partner high schools on concurrent enrollment pathways, explaining program options, eligibility requirements, and the benefits of concurrent enrollment.
  • Monitor and advise students participating in summer and early college programs as needed.

Program Coordination & Instructor Support - 35%
  • Design and implement program initiatives in collaboration with the Director of Concurrent Enrollment, ensuring alignment with USU's educational objectives and state guidelines.
  • Manage instructor onboarding.
  • Communicate with departments and high schools about course schedules, course approvals and course changes.
  • Facilitate logistics for classroom observations, trainings, and annual meetings.
  • Train and direct student employees or support staff involved in CE program activities.

Systems Management - 10%
  • Manage all processes related to building CE courses in the Banner system, process holds and late payment charges and administer IDEA evaluations.
  • Coordinate course scheduling, instructor assignments, and term setup.
  • Schedule rooms for IVC courses, both origination and receive rooms. Develop and maintain spreadsheets of course scheduling and high schools receiving USU CE courses.
  • Perform office management duties including scheduling, filing, preparing paperwork, ordering supplies, and/or managing inventory of CE supplies.
  • Assist in developing funding proposals or grant applications as needed.

Data Management & Reporting - 5%
  • Collect and report program data for compliance and improvement.
  • Support reporting for grants, audits, and accreditation.
  • Under the direction of the Director of Concurrent Enrollment, conduct research and gather information to support program compliance, reporting, and continuous improvement initiatives.
  • Recommend process improvements and contribute to documentation updates.

Outreach & Event Planning - 5%
  • Plan and coordinate various workshops and special events related to Concurrent Enrollment, both on and off campus, including informational sessions for parents and students as well as the annual instructor conference.
  • Assist with development of marketing materials, newsletters, website updates, and outreach campaigns.

General - 5%
  • Support program activities to ensure continuous improvement and smooth operations across all CE functions.
  • Comply with all federal, state and USU policies, including federal privacy laws (FERPA).
  • Other duties as assigned.


Qualifications
Minimum Qualifications:
  • Associate degree plus two years of related experience, or a bachelor's degree in a related field, or an equivalent combination of education and experience.
  • Strong interpersonal and communication skills, both written and oral, with the ability to connect with students, parents, and high school partners.
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel, and Outlook) and adaptability to new technologies.
  • Excellent organizational skills with proficiency in prioritizing and accomplishing daily tasks and attention to detail.

Preferred Qualifications:
  • Advanced knowledge of Microsoft Office Suite, including Excel.
  • Experience using the university Banner system and other institutional applications.
  • Knowledge of university policies and procedures.
  • Familiarity with a concurrent enrollment program.

  • Ability to foster a team-based environment and resolve conflicts professionally.
  • Ability to work collaboratively in a busy office environment and be a team player.
  • Ability to coordinate and organize meetings and/or special events.
  • Ability to take initiative and work without close supervision.
  • Ability to exercise creativity, problem-solving, and discretion in addressing varied and undefined program challenges.
  • Ability to handle sensitive and confidential data and personal information.
  • Strong work ethic.
