Job Title: Practice Coordinator Location(s): San Francisco, CA Position Summary: The Practice Coordinator provides comprehensive front-office and back-office administrative support within a high-volume orthopedic specialty clinic. This role supports patient access, care coordination, and surgical scheduling activities while ensuring clinic operations run efficiently and in alignment with organizational standards. The Practice Coordinator will interact extensively with patients, clinicians, and internal stakeholders and must be fully proficient in Epic/APeX.
Core Responsibilities: Front Desk Operations
- Greet and register patients; verify insurance and demographic information.
- Manage check-in/check-out, co-pay collection, and daily cash reconciliation.
- Provide clear communication on visit expectations, follow-up steps, and referrals.
Back Office / Administrative Support
- Coordinate provider schedules, clinic flow, and appointment optimization.
- Support chart preparation, documentation routing, and clerical tasks.
- Handle high-volume patient interactions (30-50 patients per day).
Care Coordination / Practice Coordination
- Manage inbound and outbound patient calls, messages, and requests.
- Process authorizations, referrals, and coordination of care activities.
- Maintain accurate and timely records within Epic/APeX.
Surgery Scheduling
- Schedule surgical procedures, pre-op evaluations, and post-op appointments.
- Serve as liaison between patients, surgeons, anesthesia teams, and OR schedulers.
- Ensure all clinical documentation, insurance authorization, and pre-op requirements are completed.
Required Qualifications
- Bachelor's degree with a minimum of 6 months of experience in a healthcare administrative role; or
- At least 2 years of healthcare administrative experience.
- Mandatory: Proficiency in Epic/APeX (no exceptions).
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel).
