Do you have a passion for youth programs and helping create an engaging, positive community space? The Old Firehouse Center (OFC) is seeking a dedicated and detail-oriented individual to serve as its administrative assistant. This customer service focused position is responsible for managing the day-to-day administrative operations of the center, supporting program coordination, assisting staff, and ensuring the smooth delivery of quality services to the community.
Located in the heart of McLean and operated by the McLean Community Center, the Old Firehouse Center serves as a trusted hub for youth and families, offering enriching programs, events, and after-school activities in a unique and welcoming environment. This role plays a crucial role in supporting this mission by managing schedules, maintaining records, assisting with program communications, and serving as a friendly first-point of contact for parents, youth participants, and staff.
Functional areas: general administrative support and administrative customer service.

- Provides customer service both to internal and external community partners and participants, in-person, phone, and via email. Exceptional oral communication, writing, and editing skills are essential.
- Uses technology to perform most of the required tasks, technology includes website content management, registration software, and marketing software such as Canva, Constant Contact and ActiveNet.
- Utilizes Microsoft office suite extensively, including PowerPoint, Publisher, Outlook, and Excel, and Word.
- Assists with scheduling the use of the facility.
- Creates and distributes weekly and monthly OFC newsletters.
- Manages coverage of the Old Firehouse front desk, assisting customers by determining their information or service needs, locating information electronically or by contacting agencies by telephone.
- May be called upon to temporarily supervise participants of the after-school program or supervise teens outside of the Old Firehouse on field trips.
- Maintains paper and electronic filing systems for participant contracts, rental contracts, and documents.
- Routes and distributes incoming mail and e-mail, answers routine letters and e-mails.
- Makes appropriate referrals for information and/or services to other government or community resources.
- Supports administrative processes to include purchasing and supply management and data collection.
- Participates in special projects and events and effectively communicates, coordinates, and collaborates with partner organizations.
- Manages cash/credit/check revenue, OFC program registration and distributable documents, and program entry.
- May be called on the assist MCC Registrar and administrative team.
- May be required to drive program participants in a 10-passenger van.
- Other duties as assigned
Note: Due to program needs this position may require frequent evening, weekend and holiday work.

MINIMUM QUALIFICATIONS: Any combination of education, experience, and training equivalent to the following: (Click on the aforementioned link to learn how Fairfax County interprets equivalencies) High school graduation and two years of experience providing administrative support in the assigned functional area(s).
CERTIFICATES AND LICENSES REQUIRED:
- Driver's License
- AED (within 3 months of hire)
- CPR (within 3 months of hire)
- First Aid (within 3 months of hire)
NECESSARY SPECIAL REQUIREMENTS:
The appointee to the position will be required to complete the following to the satisfaction of the employer:
- Criminal Background Investigation
- Child Protective Services Registry Check
- Driving Record Check
Due to nature of job requirements and working with teens, applicant must be a minimum age of 21.
PREFERRED QUALIFICATIONS:
- Experience managing a mild to high-traffic central reception desk and producing quality work in a distracting environment.
- At least three years of customer service experience working with a diverse community.
- Experience working with registration software.
- Experience with processing financial payments.
- Possess strong customer service experience skills and the ability to maintain working relationships with the staff and the public.
- Experience with and knowledge of Fairfax County programs, services, and resources.
PHYSICAL REQUIREMENTS:
- Job is generally sedentary in nature; however, visual acuity is required to read computer monitor, incumbent must be able to operate keyboard driven equipment.
- Ability to drive 10 passenger van and lift at least 25 pounds.
- Ability to communicate with others verbally and in writing.
- All duties performed with or without reasonable accommodations.
