Role Description: The Meetings Department Summer 2026 Internship offers a dynamic opportunity to gain hands-on experience in non-profit event management within a global standards development organization. You will work alongside seasoned meeting professionals, contributing directly to the planning, coordination, and execution of various meetings that fuel ASTM International's consensus-driven process. This role is designed to develop foundational skills in event management while providing exposure to the specialized ecosystem of committee-based meetings and industry partnerships, including new initiatives in sponsorship solicitation. Learning Objectives:
- Develop a comprehensive understanding of ASTM International's Technical Committee (TCO) structure and the pivotal role meetings play in the voluntary standards development process.
- Gain familiarity with the broader Meetings Industry, including key vendors, partners, and professional organizations that support business events.
- Learn to navigate and manage diverse meeting types (e.g., Committee Week, Independent, In-house, ICAM, Training) and their unique requirements.
- Acquire proficiency in the software platforms used for event registration, communication, and data reporting.
- Understand the fundamentals of sponsorship solicitation and stewardship, specifically for flagship Committee Week events.
- Build knowledge of professional meetings industry organizations (e.g., PCMA, MPI) and their resources.
General Responsibilities:
- Meeting Logistics & Planning: Research historical meeting data and gather current committee needs to update detailed specifications for room blocks, attendee numbers, meeting setups, and audiovisual requirements.
- Digital Tool Management: Update Microsoft Planner templates for all departmental meeting types and assist in organizing historical data within SharePoint.
- Documentation & Digitization: Revise and maintain ASTM's Symposium Documentation and contribute to the ongoing digitization project for the department's physical files.
- Committee Week Sponsorship Support: Assist in researching potential sponsors, drafting solicitation materials, and maintaining sponsor tracking records. Support the fulfillment of sponsor benefits during Committee Week events.
- Post-Event Analysis: Collaborate with Meeting Managers to gather information and contribute to post-event reporting and analysis.
- Departmental Support: Provide general support to the Meetings team on active projects, information gathering, and administrative tasks as needed.
Education: Must be enrolled in a related Bachelor's degree program as a rising Junior or Senior at an accredited College or University. Key Requirements & Competencies:
- Currently enrolled as a rising junior or senior in a related Bachelor's degree program (e.g., Hospitality, Business Administration, Communications, Marketing) at an accredited institution.
- Demonstrated proficiency with the Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).
- Exceptional organizational skills and meticulous attention to detail.
- Strong interpersonal, written, and verbal communication skills.
- Proactive, self-motivated, and positive attitude with a strong desire to learn and contribute in a team-oriented environment.
- Ability to manage multiple tasks, convey information clearly, and receive feedback effectively.
Physical Requirements:
- Frequent and close visual work at desk or computer.
- Frequent sitting and working at desk.
- Frequent verbal and written communication with team and other stakeholders by phone or video conferencing.
Time Requirements & Compensation:
- Hybrid - 2-3 days in West Conshohocken Office
- 35 hours per week, June through August.
- Compensation: $18.00/Hour
