Salary Range: $35,600 - $50,000

Position Summary:

The Department of Physics has a distinguished history of research and education and currently has over 30-fulltime faculty supporting millions of dollars in externally funded research per year. It is our intention to find a colleague who will expand this research diversity and who wishes to work closely and collaboratively to build on the division's success. The Senior Administrative Specialist in the College of Science & Technology's Physics division provides administrative support to the department's faculty focusing primarily on all administrative tasks, such as workshop and conference support at Temple University, managing logistics associated with international/domestic travel, meetings, and conferences, preparation of purchase orders, tracking, and receiving of packages, assistance with research budget control and planning and basic assistance with grant proposal preparation. Other tasks include meeting recaps and miscellaneous correspondence, maintaining phone and office hour distribution lists, and generating/distribution of departmental memorandums. Regulates, reconciles, replenishes departmental instructional supplies, and processes reimbursement and check requests, primarily related to research efforts through automated University systems. Additional responsibilities include, but are not limited to, scheduling and maintaining calendars of events/appointments with shifting priorities and deadlines. The Senior Administrative Specialist will also supervise student workers, order supplies, maintain office inventory, and process book orders. Performs other duties as assigned.

This position is temporarily assigned a hybrid work arrangement (on-campus and remote). The duration of this hybrid work arrangement is at the discretion of Temple University and the hiring department.

Required Education & Experience:

At least three years of directly related administrative experience in an academic environment working with research-active faculty members and students. An equivalent combination of education and experience may be considered.

Required Skills & Abilities:

  • Excellent customer service and interpersonal skills along with the ability to effectively interact with a diverse group of students, faculty, and staff.
  • Proficiency in answering a multi-line telephone and properly
  • Ability to use initiative and sound judgment to make good decisions.
  • Ability to prioritize well and focus on completion of tasks and objectives.

Preferred:

  • Familiarity with systems such as Student Banner, Course Scheduling, Kronos, TUMarketplace, DestinyOne, Taleo, and Concur.
