The Department Coordinator within the College of Liberal Arts works under the direction of the Department Chair and Manager of Administration of the Unit and is responsible for providing a high level of student and administrative support and service to faculty, students and staff. This support includes department operations, administration, event support, student services, non-credit course administration, purchasing, and undergraduate and graduate affairs. The Department Coordinator will also be responsible for other administrative duties such as coordinating event logistics, promoting events and news on social media, arrangement of detailed travel and logistics, correspondence, scheduling meetings, preparing and reviewing university forms and specialized reports, directing the work of student workers, and monitoring workflow within the department. The Department Coordinator will liaise with other CLA and TU centers and programs [PhD, MA, Undergraduate, Development, Marketing and Communications, etc.]. This position works closely with the Department Chair, the Manager of Administration, and the Director of Academic Administration, utilizing Banner financial software, course scheduling, and course evaluations, as well as handling student inquiries and arranging necessary changes. Performs other duties as assigned. This position is assigned a hybrid work arrangement (on-campus and remote), the duration of this hybrid work arrangement is at the discretion of Temple University and the Departments and is subject to change. A minimum of 4 days on campus is required. This is a 10-month position (off during the months of June and July). This position will have access to Confidential or sensitive Personal Identifiable Information (PII) and will require a background check.
This position requires Background check - Personally Identifiable Information (PII) Required Education & Experience: *Bachelor's Degree and at least two years of directly related administrative/operations experience. *Experience with Microsoft Office Suite (including OneDrive, SharePoint, Word, Excel, and PowerPoint). Required Skills & Abilities: *Must be able to work independently, prioritize and organize work. *Must have the ability to meet simultaneous deadlines, handle confidential materials, manage time effectively and use good judgment. *Working knowledge of all applicable computer software, and management skills (including planning, negotiation, and communication skills). *Ability to frequently interact with students, faculty, administrators and staff in a fast-pasted environment. *Excellent written, oral, and interpersonal skills along with the ability to effectively communicate with students, faculty, administrators and staff. *Excellent customer service orientation and organizational skills with attention to detail. *Knowledge of applicable professional principles, extensive knowledge of university policies and procedures, and financial and budgeting principles. *Must have the ability to make independent decisions at times when collaboration with colleagues and supervisors is not possible. *Proactive approach to identifying and resolving issues. *Ability to learn and adapt to new technology quickly. *Ability to assist the department Chair with curriculum management, syllabi collection, and catalog updates. *Skilled in managing student admissions, enrollment and records. *Ability to provide comprehensive administrative support to academic departments, including coordination of academic programs, faculty support, student services, and departmental operations. *Must be proficient in managing administrative tasks related to part-time adjunct hiring (e.g. verifying documentation, creating requisitions, coordinating offers with the hiring office), and ensuring compliance with union and HR requirements. *Familiarity with academic policies, procedures and institutional regulations. Preferred Skills: *Proficient in common University-specific computer application programs such as Banner, TUMarketplace, Concur, Kronos and Taleo or similar ERP systems. *Ability to assist processing graduate TA/RA contracts, including verifying eligibility, tracking funding source, coordinating with Payroll, and ensuring compliance with institutional and union guidelines This position is assigned as Hybrid. This is a 10-month position (off during the months of June and July).
