TMG's Construction Administrator is an individual who possesses the organizational skills, ability to multitask, and attention to detail to support TMG's Project Management and/or Field Operations in performing the administrative aspects of managing building and civil-related commercial and institutional construction projects. The Construction Administrator role in the TMG organization is a developmental position in which employees are provided an opportunity to develop a deeper understanding of TMG's processes and procedures in the construction process and to learn technical skills to advance within the TMG organization.

Scope of Construction Administrator Position

Assist and support all aspects of project management and field operations where necessary, for multiple small projects or a large project. Support the project management process by performing administrative tasks such as creating project meeting minutes, processing shop drawings, handling the workflow of RFI's, document control, and maintaining data integrity in TMG's Project Center and other related activities.

Essential Functions of the Construction Administrator Position

Basic understanding of workflow, accuracy, and timeliness in a professional industry. Strong organizational skills and the ability to effectively use a variety of management and reporting software tools. The ability to effectively communicate with management, subcontractors, customers, and peer groups. Ability to travel to different job sites within a designated geographical area.

Construction Administrator Responsibilities



  • Support the Project Manager, Superintendent, or other management roles in the construction process throughout all phases of the life cycle of a project through accurate and timely construction administration and maintaining data integrity in all systems used by TMG. The focus is on the start-up and closeout of individual projects.
  • Create, update, and maintain a variety of project controls that track the status of individual projects or task orders, changes to projects or task orders, RFI, shop drawings, and submittals, matters involving quality controls, safety, financial performance, close-out, and other aspects of the project(s) or task order(s);
  • Process shop drawings, RFIs, and other submittals that are required to document the construction process that is reviewed/prepared by others.
  • Support the change management process by updating logs, routing source documents to vendors, obtaining pricing, and maintaining TMG's PC for data integrity.
  • Support the estimating process by outsourcing and ensuring all bid documents to subcontractors and in the project files are current.
  • Establish, monitor, communicate, and maintain project schedules utilizing contemporary scheduling software.
  • Entry level, learning how to read plans and specifications to review shop drawings against the contract requirements under the supervision of the Project Management team.
  • Support the PM in producing and distributing the final deliverables of negotiating contracts, subcontracts, and purchase orders.
  • Maintain and regularly produce reports utilizing TMG and client-specific workflow software such as TMG's Project Center, USACE QCS/RMS, Prolog, etc.
  • Proactively identify issues that could lead to problems and facilitate solutions.
  • Develop an understanding of risk in construction and how to maintain and require compliance with all contract terms and legal requirements that govern the project.
  • Provide timely and cordial interaction with supporting work groups, such as accounting, HR, ICS, etc.
  • Participate in managing activities that are related to project closeout to ensure timely completion.
  • Assist with the evaluation of projects for constructability and value-engineer cost savings.
  • Participate in life-long learning opportunities and professional development.
  • Participate in weekly staff meetings and industry networking functions.
  • Familiarize oneself with the Project Manager or Superintendent Position Description and work deliberately to acquire the knowledge and skills necessary to evolve into one of the stated roles.



Minimum Qualifications



  • Bachelor's degree, or 3 years of related administrative experience with no degree, preferably within the construction industry.
  • A basic understanding of project management workflow and processes.
  • Solid understanding/proficiency with spreadsheets, email, and other software used in the construction industry.
  • Must be able to lift and handle 50-pound objects;
  • Must be fully mobile and capable of walking job sites, climbing ladders and stairs multiple times daily to inspect work, direct subcontractors and TMG's own field forces, and assure safety and quality control;
  • Must have a clean driving record to facilitate getting materials from suppliers when necessary.
  • Current safety credentials to include OSHA 30 1, 1st Aid, and CPR 1;
  • US Citizenship is required for most
