DEA's Corporate Office in Portland, Oregon is seeking a Recruiting Specialist / Receptionist who will play a key role in creating a welcoming environment for clients, visitors, and the community, while also supporting a dynamic and growing Human Resources team. This position is ideal for someone who is service-oriented, highly organized, and eager to grow their Recruiting and HR experience.

The successful candidate will be comfortable working in a fast-paced environment, providing top-notch support both in person and over the phone, and contributing to a wide range of Recruiting and HR initiatives across the company.

What You'll Do Key Responsibilities:

Human Resources and Recruiting Support

  • Coordinate onboarding, organizing and supporting a smooth onboarding experience for new employees across the company

  • Assist with research and special Recruiting and HR initiatives, such as pilot programs, benefits benchmarking, and implementation of new Recruiting and HR systems or processes

  • Perform Recruiting and HR data and administrative tasks, including:

    • Scholarship tracking

    • Intern program coordination

    • Employee referral tracking and reference checks

    • New hire survey administration

    • Personal Action Form (PAF) preparation and processing

    • Data entry and reporting within the HR Information System

    • Preparation of invoices for payment

    • Maintenance of employee records and files

    • Monitoring the Recruiting and LinkedIn mailbox

    • Posting and managing job postings

    • Coordinating candidate travel arrangements

    • Supporting career fair planning and coordination

    • Managing recruiting-related budget tracking

    • Obtaining reference checks

    • Scheduling interviews

Reception and Office Support

  • Answer and route incoming calls using a multi-line phone system in a professional and courteous manner.

  • Greet and assist employees, visitors, vendors, and members of the public at the Portland office. (Please note, this is a core function of this role. An in-office presence Monday - Friday is required)

  • Maintain the front desk and reception area to ensure a professional and welcoming environment.

  • Provide facilities support, including coordinating conference room reservations, pool vehicle usage, parking assignments, and addressing building-related issues.

  • Submit service and repair requests to building management.

  • Support copy center and mailroom operations, including large print jobs, incoming mail distribution, and outgoing shipping and mailing.

  • Prepare, compose, and maintain correspondence, documents, and spreadsheets using Microsoft Office applications.

  • Set up and break down conference rooms for in-person and virtual meetings, including audiovisual support and coordination of food and beverage services.

What You Bring Required Qualifications:
  • Commitment to an in-office work schedule of 8:30 a.m. - 5:30 p.m., Monday through Friday

  • 3-5 years of experience in an HR/Recruiting coordination, administrative assistant, receptionist, customer service, or similar role.

  • Experience answering and routing calls using a multi-line phone system.

  • Strong proficiency in Microsoft Office (Word, Excel, Outlook).

  • Ability to learn and adapt to new technologies, including Microsoft Teams, SharePoint and ADP.

Preferred Qualifications:
  • Experience within the AEC Industry

  • Experience with Power BI or willingness to learn advanced reporting tools

    • The posted salary range represents the typical range for this position and is provided in accordance with applicable state and local pay transparency laws. Actual compensation will be commensurate with experience, qualifications, and geographic location.
