The Bioinformatics Research Center ( BRC) at NC State is a premier center for education and research in bioinformatics, the field that integrates information science and statistics with the study of genomics. Established in 2000, the BRC is located on NC State's main campus.

The BRC has two important missions:
Research: Our research focuses on the development of new computational and statistical tools for the analysis and interpretation of genomic data. Our research addresses both theoretical and practical issues in human, plant, and animal genetics.

Facilitating Education: The BRC is dedicated to providing outstanding educational and training opportunities for graduate students and genomic scientists. We are affiliated with graduate programs in bioinformatics and genomic sciences and provide an environment conducive to effective training.

Essential Job Duties
The University Program Associate position in the Bioinformatics Research Center ( BRC) is responsible for administering, overseeing, and managing technical processing functions within the Center to support strategic initiatives as directed by the Director. The incumbent serves as the main Center contact to plan and manage events and problem-solve procedural issues. The BRC University Program Associate will coordinate the day-to-day functions of the center, plan and organize activities, communicate and interpret program information, policy, and procedures, provide customer service to faculty, students, center stakeholders, and maintain business accounts and records. The incumbent in this position will be the first impression for visitors to the Bioinformatics Research Center and will demonstrate excitement for setting a positive and welcoming environment.
Under the direction of the Bioinformatics Research Center ( BRC) Director, this position will meet strategic initiatives by performing the following key responsibilities:
General Administrative Support

  • Maintain and update shared documents for projects (e.g., task management),
  • Prepare and distribute meeting agendas, minutes, and follow-up action items,
  • Track deadlines and deliverables for Center-related projects,
  • Maintain updated staff organizational charts and BRC membership lists, including faculty, postdocs, and students,
  • Assist in documentation for compliance and reporting purposes (e.g. yearly reports, 5-year reports).


Event and Training Program Support

  • Coordinate logistics for workshops, short courses, and trainings (e.g., reserve rooms, arrange catering, book travel),
  • Initiate and manage outreach to members to create event registration lists and RSVPs,
  • Collect and organize course materials from instructors/speakers,
  • Maintain email/contact lists for training program communications,
  • Serve as a point of contact for vendors and participants,
  • Assist in planning annual or recurring events (e.g., conferences, meetings & courses, seminar series)

Training Program Support

  • Maintain records, materials and documentation for training grants,
  • Collaborate with the Graduate Services Coordinator (GSC) to collect information on student availability based on required courses,
  • Collaborate with the Graduate Services Coordinator (GSC) to maintain updated lists of students and their progress in BRC-affiliated training programs, and a separate list of students, postdocs, and visiting scholars who work directly with BRC-affiliated faculty.
  • Collect and organize feedback from students regarding training needs (e.g., HPC training surveys or requests),
  • Coordinate with faculty and the Director to meet student support and training needs.

Communications

  • Compile, assimilate, and organize content for BRC-associated websites by collecting information on news, events, and training programs,
  • Maintain awareness of current programs and events from outside programs to propagate information through the BRC,
  • Advise and consult with stakeholders (e.g. faculty, students, postdocs) to ensure accuracy of the communication and understanding of the message.
  • Place messages within the context of the center's broader strategic plan and operational strategies.
  • Create and distribute informational materials for events or programs,
  • Initiate and manage internal communications (e.g., listserv announcements, training updates),

Financial Management Support

  • Track expenses related to events,
  • Review spreadsheets tracking BRC revenue, expenses, commitments, and special allocations provided by the COS finance office,
  • Monitor account balances and proactively flag discrepancies or funding issues to be discussed with the Director,
  • Code and process financial transactions (expenses, reimbursements, POs) for events, training programs, and purchases as requested by the Director,
  • Coordinate with the COS Finance office on complex or non-routine issues.

Human Resources (HR) Support

  • Advise BRC employees on basic HR policies and procedures,
  • Coordinate with the College HR office on complex or non-routine issues.

Other Responsibilities

  • Other duties as assigned by the Director
  • Provide administrative tracking for multi-unit collaborations
  • Act as liaison between faculty/staff and college offices for finance and HR matters

Qualifications




Minimum Experience/Education
Bachelor's degree; or an equivalent combination of training and experience.

All degrees must be received from appropriately accredited institutions.
Preferred Qualifications

  • Experience providing high-level administrative and program coordination support in an academic, research center, or higher-education environment.
  • Demonstrated ability to plan, coordinate, and support events, workshops, trainings, or conferences, including logistics, communications, and stakeholder coordination.
  • Proven proficiency managing complex records, shared documentation, contact lists, and data tracking systems using Microsoft and Google Suite tools.
  • Experience supporting financial or business operations, such as tracking expenses, monitoring budgets, processing transactions, and coordinating with finance offices.
  • Strong written and verbal communication skills, with experience creating and distributing program communications and serving as a primary point of contact for varied stakeholders (faculty, students, staff, and external partners).
