Position Title:Credentialing Assistant to Medical Staff Services Office (onsite) Department:Medical Staff/Credentialing Job Description:

This position is needed to provide administrative support to functions within the Medical Staff Services Office (not a clinical setting). Ideal candidates will have previous experience supporting medical staff meetings and credentialing exposure

This position is an entry-level position.

General Description:

Responsible for performing day to day administrative duties and functions in the Medical Staff office and support others in their roles. Provides administrative support for a variety of tasks including but not limited to, office phones & mail, ordering supplies, ongoing monitoring and tracking of expiring documentd management, general oversight of the credentialing email inbox, call schedules. Deals with a diverse group of customers, patients, and visitors as well as internal interactions with leaders and key stake holders at all levels, including Senior leadership of hospital and medical staff.

Essential Responsibilities:

  • Coordinate the administrative aspects of Medical Staff Services including preparation and scheduling of meetings, updating policies, communications, and standard correspondence, ordering of supplies.

  • Serve as the office's go-to customer service resource, often acting as the first point of contact for visitors and guests.

  • Performs computer data entry and scans applicable credentialing/verification documents into the credentialing database.

  • Assists with collection of expiring documents (i.e. life support certification, board certification, malpractice insurance) for the applicable practitioners.

  • Contact person for various sources of documentation, distribution point for all internal and external communications, first point of contact in the department and triages calls.

  • Oversees the department's general email and fax inboxes and delegates emails/faxes to the appropriate colleague.

  • Assists Graduate Medical Education with the tracking of rotating residents and students in the credentialing database.

  • Oversees non-staff referring providers in the credentialing database and ensures ongoing monitoring as it pertains to licensure and sanctions.

General Responsibilities:

  • Performs other duties as assigned.

Minimum Qualifications:

Education: High school diploma or GED required.

Experience: 0 - 3 years' experience in an administrative support role. Previous experience in a healthcare setting preferred.

Knowledge, Skills and Abilities:

  • Strong customer service skills

  • Excellent verbal and written communication skills.

  • Proficient knowledge of Microsoft Word, Excel, and Outlook

  • Excellent computer skills.

  • Resourceful in problem solving, initiative and good judgment

  • Comfort working in a fast-paced environment, adapting quickly to new priorities

  • Ability to maintain confidentiality
