GENERAL FUNCTION

The Vendor Relations Specialist plays a crucial role in managing the Vision Source vendor portfolio, from selecting new vendors, onboarding, managing vendor sponsorships, and promoting vendors to members.

Vision Source acts as a group purchasing organization on behalf of its members, and manages 150 vendors, including negotiating members programs, collecting and distributing member rebates, receiving vendor admin fees and promoting vendors through vision source communication channels and events (Exchange and Statewide meetings).

MAJOR DUTIES AND RESPONSIBILITIES



  • Coordinates vetting for the assigned potential vendors, in collaboration with the assigned consulting OD, making sure proposed terms include favorable terms for Vision Source members.
  • Onboards all new vendors, from ensuring vendor GPO and Vision Source Services agreement are signed, activating Insight vendor suite and training vendors on its use.
  • In collaboration with the marketing team, coordinates with vendors for promoting vendors through the Vision Source marketing channels (Gazette and other promotional tools).
  • Manages the assigned vendors in collaboration with the assigned consulting ODs, by:

    • Periodically reviewing status of the vendor collaboration, sales results, vendor engagement, etc.
    • Managing any escalated member issue.
    • Ensuring regular payment of vendors' fees


  • Collects vendors' commitment to the Visions Source events, such as Exchange, Admin Meeting, Virtual Exchange, ensuring the relative Vision Source Service Agreements are signed and sponsorship fees collected.
  • Serve as primary point of contact for the vendor relationship team in planning and executing The Exchange, including

    • Partners with marketing team to design The Exchange Exhibit Hall floor layout, keeping into consideration vendor sponsorship level, signing up priority and category adjacencies.
    • Serves as primary vendors' point of contact during the event.
    • Responsible for communications, tracking and submission of all vendor-related Exchange materials.
    • Provides on-site Exchange vendor support, including closing feedback sessions for continuous improvement opportunities.




BASIC QUALIFICATIONS



  • Bachelor's degree in business administration or related field.
  • 3+ years' experience in vendor management, preferably in the healthcare or eye care industry.
  • Strong organizational skills, with the ability to multitask and prioritize tasks effectively.
  • Strong attention to detail.
  • Excellent communication and interpersonal skills, with a customer service-oriented approach.
  • Intermediate Excel proficiency.
