POSITION TITLE: Community Relations and Development Associate

STATUS: Full-Time, Non-Exempt

PAY RATE: $31.00 - $33.00 per hour

MISSION STATEMENT:

SCOPE OF POSITION:

The Community Relations and Development Associate performs a wide variety of duties that support and enable the Territorial Executive Director of Development, to meet and accomplish the expectations and requirements defined in their position. To this end the Community Relations and Development Associate must be able to work independently for the purpose of prioritizing, organizing and scheduling the related work (correspondence, projects, telephone and Outlook communication, etc.). The Community Relations and Development Associate will also support departmental projects and activities,and consistently demonstrate the qualities of Teamwork by cooperating with the Territorial Executive Director of Development, Sr. Director of CRD Operations & Project Management, and CRD Operations Manager.

The Community Relations and Development Associate will ensure that the Territorial Executive Director of Development is "current and on time" with requests, assignments and appointments by maintaining an effective and efficient calendar and bring up system. This position will think ahead and provide proactive support and professional representation of the CRD office and team.

WORK EXPERIENCE:

* Minimum two (2) years' experience as an administrative assistant or administrative aide.
* Strong use of the English language in verbal and written communication.
* Customer service mindset.
* Proficient in all Microsoft Word, Powerpoint and Excel applications (including tables, mail merge, templates, etc.).
* Microsoft Outlook helpful.
* Detail oriented.
* Working knowledge of integrated database applications and ability to use new software program with basic training.
* CRM system and Classy platform helpful.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

* Filing and Organizational skills
* Spelling Test - 90%
* Grammar Test - 90%
* Proficient typing skills - Typing Test 60 WPM
* General knowledge of business protocols

ESSENTIAL DUTIES AND RESPONSIBILITIES:

1. Type and process correspondence (24-hour turn around) and prepare daily correspondence for mailing or distribution on a timely basis.
2. Type and process correspondence / documents from written drafts.
3. Type and process correspondence for various Cabinet officers (Commissioner, Chief Secretary, and Business Administrator) for select Community Relations and Development Department matters.
4. Maintain an effective Bring Up and Schedule system.
5. Assist the Territorial Executive Director of Development and designated staff with the planning, organization, coordination and implementation of all CRD department conferences and seminars.
6. Answer and process incoming inquiries from internal and external sources.
7. Answer phone calls for the Territorial Executive Director of Development in their absence and maintain contact with them.
8. Make travel and lodging arrangements for Territorial Executive Director of Development as requested.
9. Open and distribute CRD department mail to the appropriate person(s). Prepare mail for Territorial Executive Director of Development's review and attention.
10. Facilitate a timely response for all inquiries, correspondence, etc. that occur during the absence of the Territorial Executive Director of Development.
11. Manage TEDD's electronic Outlook calendar, ensuring all appointments and meetings are accurately recorded and up-to-date. Double-check and confirm all entries to avoid any scheduling conflicts or missed meetings.
12. Cross train in the responsibilities of other CRD personnel and be prepared to complete duties and projects in their absence.
13. Assist with both ongoing and special Community Relations Department projects.
14. Communicate daily with CRD Operations Manager regarding messages, information sharing and to receive instruction and guidance on work to be completed.
15. Process for approval invoices received in CRD Department. Process same for timely payment by THQ Finance Staff.
16. Assist the Territorial Executive Director of Development with the design and implementation of various Excel reports.
17. Assist the Territorial Executive Director in preparing for meetings. This is to include printing documents and assembling executive folders or binders, ensuring accuracy and uniformity in presentation
18. Assist as requested by the Sr. Director of CRD Operations & Project Management, CRD Operations Manager, and with their clerical duties.
19. Maintain Territorial Executive Director of Development's Outlook calendar.
20. Process expense vouchers for various disciplines within CRD.
21. Coordinate the timely handling of requests and correspondence from National Headquarters in partnership with the TEDD by delegating to the appropriate team members, sending deadline reminders, collecting field information and aggregating it as needed, and drafting response communication on behalf of the TEDD.
22. Process expenses through CARE for pending transactions for the TEDD.
23. Prepare for bi-monthly CRD Team meetings. This is to include but not limited to; sending out meeting invitations, securing agenda items, and sharing agenda items at a minimum of 24 hours in advance of meeting time.
24. Maintain confidentiality on sensitive public relations matters and crisis communication issues.
25. Process all civic award requests received from the field. This is to include, but not limited to, Others, William Booth, Life Membership and Exceptional Services awards. Prepare certificates, secure appropriate signatures and order statues / pins from TradeWest.
26. Manage renewal and new subscriptions to various publications and articles for the Territorial Executive Director of Development.
27. Maintain and process the annual group membership renewal for the Association of Fundraising Professionals (AFP) ensuring there is no lapse in membership, maintaining accurate records of membership, billing expenses to divisions accordingly.
28. Generate all Christmas kettle income reports through the Register To Ring website, including store listing reports for all major corporate partners, vendor reports by division/state, territorial and divisional totals, weekly comparison reports, and final Christmas income and activity report. Work in conjunction with the Data Team Manager to ensure accurate data is captured.
29. Create Territorial Finance Council (TFC) agenda items in TSAMM for monthly Territorial Commander Reports and any other CRD items as requested.
30. Process department contracts through TSAMM for legal review and approval.
31. Under the direction of the Territorial Executive Director of Development, contact the divisional headquarters' for quarterly financial reports for each Capital Campaign and follow up with each division that doesn't respond.
32. Assist with triaging help desk tickets within purview of the Donor Data Management team. Assign tickets to the appropriate division/person as well as close tickets. Proficient in the navigation of the salvationarmyhelp.zendesk.com.
33. All other duties as assigned by the Territorial Executive Director of Development, Sr. Director of CRD Operations & Project Management, and the CRD Operations Manager.

7. Must demonstrate dependability by arriving and leaving work on time, by taking the allotted time for lunch and breaks and by limiting personal telephone calls and socializing to break periods.

PHYSICAL REQUIREMENTS:

Qualified individuals must be able to perform the essential duties of the position with or without accommodation.
